Responsibilities Prepare, format, proofread, and organize legal documents including contracts, subcontracts, and NDAs Assist with contract administration by tracking approvals, execution, renewals, and amendments Manage and maintain lawyers calendars, including scheduling meetings, deadlines, and appointments Coordinate internal and external meetings, ensuring meeting logistics are handled and materials are prepared Track key legal, regulatory, and contract-related dates and deadlines, issuing reminders as required Maintain and organize legal files, contracts, and departmental records in accordance with retention guidelines Ensure all legal documents are properly filed, labeled, and easily accessible in both electronic and physical filing systems Assist with opening, closing, and archiving files related to ongoing and completed legal matters Support the preparation and assembly of documentation for litigation, arbitration, or regulatory matters as directed Monitor deadlines related to filings, permits, licenses, and corporate records Review standard agreements such as rental agreements, credit applications, and Non-Disclosure Agreements for completeness and accuracy Draft routine correspondence, summaries, and standardized forms using established templates Assist with maintaining and updating legal department processes, templates,
and administrative procedures Maintain strict confidentiality of sensitive legal and business information at all times Other duties as assigned Technical Requirements Legal Assistant or Law Clerk diploma or certificate from a recognized institution, or equivalent administrative experience in a legal environment Minimum of 2 years of experience in a legal assistant or similar legal administrative support role, preferably in a corporate or construction setting General familiarity with contracts, corporate documentation, and compliance processes is considered an asset Experience in the construction or real estate industry would be considered an asset Exposure to construction contracts (., CCDC documents) is an asset, with willingness to learn where needed Experience organizing, tracking, and managing legal or contractual documentation Business Requirements Robust organizational, administrative, and time management skills High attention to detail with the ability to manage multiple tasks and competing priorities Proficiency in Microsoft Office Suite and experience working with document management or filing systems Cultural Requirements Strong interpersonal skills and the ability to communicate professionally with stakeholders at all levels of the organization As a member of the OSCO Construction Group, we offer a comprehensive compensation package including health and dental coverage, life insurance, RRSP and tax-free savings account options.
