Job Overview

The Lease Administrator, reporting to the General Manager of Rental Properties, is responsible for managing all aspects of the lease agreement process. Strong communication skills are essential in this role, as it requires liaising with tenants, property managers, and various internal teams to ensure clarity and accuracy in lease agreements. This includes coordinating the creation of new leases, effectively conveying lease terms, and handling day-to-day administrative tasks for both residential and commercial leases.

Key Responsibilities

- Managing the Rental Inbox: Oversee the high-volume rental inbox, ensuring all emails are responded to and actioned promptly, including archiving around 750 suite inspection and insurance confirmation emails that need to be e-filed.
- Setting Up New Tenants: Set up new residential and commercial tenants, calculate prorated rent, process rent increases, issue notices, and manage rental cancellations.
- Tenant Paperwork Coordination: Liaise with resident managers and portfolio managers regarding tenant paperwork such as tenancy agreements, suite inspections, home insurance documents, and parking agreements.
- Follow-up on Missing Documents: Follow-up on missing security deposits or rental documents for new tenants, ensuring all files are maintained accurately and updated with necessary changes.
- Tenant Attachment Report Update:



Update the Tenant Attachment Report in Yardi for around 6,000 tenants to accurately reflect which documents are on file. This will allow for weekly reports to be sent to managers, enabling them to identify and submit missing documents.
- Maintaining Tenant Files: Ensure all tenant files are up to date, ensuring correspondence and document changes are accurately filed, with follow-ups on any missing documents. Including missing tenant contact details.
- Reporting and Administration: Update Traffic/Vacancy reports, including changes for cancelled move-outs and file updates, and manage the rent roll process.
- Billing and Payments: Oversee preauthorized service payments, process monthly billing, and follow up with Resident Managers regarding overdue accounts.
- Collections Management: Handle the transfer of overdue accounts to collections agencies.
- Vacancy Tax Filing: File annual Vacancy Tax declarations and respond to related inquiries.
- Additional Duties: Perform any other duties as required.

Skills and Qualifications

- Bachelor’s degree in business, real estate, or a related field (preferred).
- 2+ years of experience in leasing, property management, or real estate administration.
- Proficiency in property management software (e.g., Yardi, AppFolio) and MS Office Suite.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Knowledge of leasing laws and regulations is a plus.

Job Types: Full time, Permanent

Pay: $55,000.00-$65,000.00 per year
