The United Church of Canada (UCC) is a Christian community of faith and hope, called to celebrate God’s presence and to love and serve others. UCC acts in cooperation with others to promote peace, justice, care for creation, and the healing of the world.
Within UCC, Regional Councils support and oversee local church communities known as Communities of Faith. The Pacific Mountain Regional Council (PMRC) serves British Columbia and the Yukon, supporting about 140 Communities of Faith and a wide range of ministries such as camps, social service agencies, youth programs, leadership development, new ministry initiatives, affordable housing, and community partnerships.
The Property Development Council (PDC) is the property holding and management organization for PMRC. PDC provides leadership in the stewardship of church properties across British Columbia, offering expertise in property management, leasing, redevelopment, and financial oversight to help local ministries thrive and advance the mission of the church.
PDC works closely with the Community Renewal Society (CRS) and the Three-Point Housing Society (3PHS). Together, these three non-profit societies are referred to throughout this document as the "Affiliated Societies." They work collaboratively to deliver property stewardship, affordable housing, and community development initiatives across British Columbia.
Position Summary
The Executive Assistant provides confidential executive and governance support to the Executive Directors of the affiliated societies and serves as a trusted administrative partner in supporting the effective operation of the Affiliated Societies.
The Executive Assistant coordinates executive administration, manages governance processes, prepares Board and committee materials, facilitates communication among internal and external stakeholders, and ensures administrative operations are carried out efficiently and professionally across the Affiliated Societies.
This role exercises sound judgment, discretion, and initiative while managing competing priorities in a dynamic environment. The Executive Assistant enables the Executive Directors to focus on strategic priorities by anticipating needs, coordinating activities, and ensuring timely follow-up on key initiatives.
Key Responsibilities
1. Executive Support
- Provide confidential executive and administrative support to the Executive Directors of the Affiliated Societies.
- Manage the Executive Directors' calendars, meeting schedules, travel arrangements, and related logistics.
- Prioritize incoming correspondence and communications, ensuring timely responses and appropriate follow-up.
- Prepare briefing notes, reports, presentations, correspondence, and other executive materials.
- Coordinate executive meetings and monitor action items to ensure timely completion.
- Exercise discretion in handling confidential and sensitive information.
- Anticipate administrative needs and proactively resolve issues to support the Executive Directors' effectiveness.
2. Board and Governance Support
- Coordinate meetings for the Boards of Directors and committees of the Affiliated Societies (PDC, CRS, and 3PHS).
- Prepare agendas in collaboration with the Executive Directors and Board Chairs.
- Compile, review, and distribute Board packages.
- Attend Board and committee meetings and prepare accurate minutes.
- Maintain corporate records, governance documents, Board resolutions, policies, and other official records.
- Monitor Board decisions and action items and coordinate follow-up with responsible staff.
3. Communications and Stakeholder Relations
- Act as the primary administrative liaison for the Executive Directors, managing communications with internal and external stakeholders.
- Prepare, edit, and coordinate confidential correspondence, reports, presentations, and other executive communications.
- Ensure the accurate and timely flow of information across the Affiliated Societies.
- Respond to inquiries independently where appropriate and redirect matters requiring executive attention.
- Foster collaborative working relationships while maintaining the highest standards of professionalism, discretion, and confidentiality.
4. Office Administration and Operations
- Coordinate meeting logistics, hospitality, and event arrangements.
- Maintain executive filing systems, records management, and document retention practices.
- Support procurement of office supplies and administrative resources.
- Maintain administrative procedures and standardized templates.
- Coordinate office services, technology requirements, and administrative support with internal and external service providers.
5. Project Coordination
- Provide administrative and project coordination support for strategic initiatives and special projects.
- Track project milestones, deadlines, and deliverables.
- Support policy development and document management.
- Coordinate cross-functional activities involving the Affiliated Societies and stakeholders.
- Assist in organizing workshops, retreats, and organizational events.
6. Administrative Systems and Continuous Improvement
- Review and improve administrative processes to increase efficiency and consistency.
- Support implementation of current administrative technologies and digital workflows.
- Develop and maintain standard operating procedures.
- Recommend improvements that enhance organizational effectiveness and customer service.

Qualifications
Education
- Diploma or degree in Business Administration, Office Administration, Public Administration, or a related discipline.
- Governance or executive administration certification is considered an asset.
Experience
- Five years of progressively responsible executive administrative experience supporting senior leaders.
- Experience coordinating Board and committee governance processes.
- Experience preparing agendas, board packages, minutes, and confidential correspondence.
- Experience working within a non-profit, faith-based, public sector, or comparable governance environment is considered an asset.
Skills and Competencies

- Advanced proficiency with Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.

Compensation and Benefits
The United Church of Canada offers a competitive and equitable total rewards package designed to support both professional success and personal well-being. The target hiring range for this position is $51,482 to $57,160, with potential progression to a maximum of $63,462 (Category 3 salary range), depending on experience and qualifications.
