Administrative Assistant / Clinic Receptionist

New Ray Physiotherapy and Health Clinic – Abbotsford, BC

New Ray Physiotherapy and Health Clinic is a new multidisciplinary clinic opening soon in Abbotsford. We are seeking a professional, friendly, and detail-oriented Administrative Assistant / Clinic Receptionist to join our team.

This position plays an important role in creating a welcoming, organized, and productive clinic environment for clients and staff. As the first point of contact, the successful candidate will assist with reception duties, appointment scheduling, client intake, billing, and general administrative support.

Key Responsibilities

Front Desk and Administration

- Manage the front desk and support the clinic’s daily operations.
- Answer telephone calls and emails in a skilled and timely manner.
- Schedule, confirm, reschedule, and cancel client appointments.
- Manage practitioners’ schedules and help minimize appointment gaps.
- Create, update, and maintain accurate electronic client records.
- Process client payments and issue receipts.
- Balance daily transactions and manage petty cash when required.
- Enter and maintain third-party insurance and billing information.
- Order office and clinic supply as needed.
- Maintain client confidentiality and follow clinic privacy policies.

Client Service

- Welcome and assist clients in person, by telephone, and by email.
- Provide information about clinic services and practitioners.
- Assist new clients with intake forms and appointment preparation.
- Confirm and remind clients of upcoming appointments.




- Respond to client questions in a courteous and helpful manner.
- Maintain a professional, respectful, and welcoming clinic environment.

Billing and Clinic Support

- Assist with direct billing and third-party claims, including ICBC, WorkSafeBC, MSP, TELUS Health eClaims, and extended health benefits.
- Monitor approved treatment visits and claim limits.
- Support practitioners with referrals, reports, and documentation.
- Communicate with insurance providers and referral sources when required.
- Help maintain organized treatment rooms and common areas.
- Assist with clinic laundry and light daily cleaning duties.
- Support basic clinic promotions and social media activities when needed.

Additional Duties

- Work collaboratively with practitioners, management, and other administrative staff.
- Complete additional duties as required to support smooth clinic operations.

Required Qualifications

- Minimum one year of administrative or customer service experience, preferably in a healthcare or clinic setting.
- Strong customer service and interpersonal skills.
- Excellent verbal and written communication skills.
- Understanding of confidentiality, privacy, and professional conduct.




- Strong computer skills and the ability to learn scheduling and billing software.
- Excellent organization, attention to detail, and time-management skills.
- Ability to manage multiple responsibilities in a busy environment.
- Reliable, punctual, positive, and able to work effectively as part of a team.
- Flexible availability, including mornings, evenings, and weekends.

Preferred Qualifications

- Medical Office Assistant certificate or a diploma or degree in business administration, healthcare administration, or a related field.
- Previous experience using Jane App.
- Experience with direct billing and third-party claims.
- Previous experience working in a physiotherapy, chiropractic, massage therapy, or multidisciplinary clinic.
- Basic social media skills for assisting with clinic promotions.
