Hensall Global is seeking a Parts & Service Coordinator to join our team at our full-service truck and trailer facility in Exeter, Ontario.

Position Overview:

The Parts & Service Coordinator is a key support role within our Truck and Trailer Repair Shop and is the first point of contact for customers, drivers and vendors. This position is responsible for delivering exceptional customer service while supporting the efficient coordination of parts, service activities, administrative processes and shop operations. The Parts & Service Coordinator provides support and back up coverage for the Service Writer and Parts Purchaser, ensuring accurate communication, timely processing of information, and a positive customer experience. Job Duties and

Responsibilities:

· Provide professional and friendly customer service by responding to customer inquiries, coordinating service needs, and maintaining positive relationships with customers and drivers.

· Provide support and backup coverage for the Service Writer by assisting with service inquiries, maintaining service scheduling information, updating work orders and supporting customer communication.





· Provide support and backup coverage for the Parts Purchaser by assisting with parts-related inquiries, vendor communication and sourcing, receiving parts, coordinating returns, and supporting inventory management, including weekly inventory counts.

· Process customer cash, debit or credit card payments and provide weekly and monthly settlement reports to Accounting.

· Support customer follow-up activities, including service inquiries and overdue accounts.

· Provide general administrative support, including answering phones, mail, photocopying, filing, maintaining supplies for office and lunchroom and supporting shop activities.

· Complete data entry, maintain spreadsheets and databases, and prepare reports as required.

· Assist with promotional initiatives, including marketing, advertising, and social media activities.

· Maintain and coordinate compliance requirements, including software and program renewals (including DriveON), mechanic licenses, certifications, and required records.

· Coordinate health and safety activities, including maintaining the H&S; communication board, ensuring regulatory information is current, and supporting annual training reminders and follow-ups.

· Schedule and maintain documentation for required inspections, including forklifts, lifting devices, and tool calibrations, ensuring all requirements are completed and up to date.

· Pick up and deliver parts or supplies as required.





· Maintain a clean and organized front retail counter, receiving area, and parts area.

· Understand and follow all Health and Safety and Environmental policies and procedures.

· Perform all other duties as assigned.

Required Qualifications:

· High School Diploma or equivalent, and/or post-secondary education in Business, Office Administration, or related field.

· Minimum of 2 years of experience in parts coordination, service administration or customer service, preferably in a service or repair environment.

· Experience working in a Truck and Trailer Repair shop, automotive repair environment or similar service-based industry is considered an asset.

· Excellent customer service, interpersonal, and communication skills (verbal and written).

· Strong organizational skills with the ability to prioritize multiple tasks and meet deadlines.

· High attention to detail and accuracy.

· A positive and professional attitude and willingness to work collaboratively with all team members and customers.

· Strong computer skills, including Microsoft Office Suite (Word, Excel, Outlook) and related business systems.

· Valid G Driver’s license.

· Willingness to obtain a forklift license.

Job Type: Full time

Pay: $45,000.00-$67,000.00 per year

Experience:

- parts & service coordination, customer service: 2 years (required)
- truck or automotive repair shop, service-based : 1 year (preferred)

Licence/Certification:

- Class G Licence (required)
