Qualifications
This position is located at the Percy E. Moore Clinic in Hodgson, MB.
Candidate must live in or near the Community to be considered for this position as transportation, moving expenses or accommodations will not be provided.
Preference will be given to applicants who self-declare as Indigenous.
MINIMUM FORMAL EDUCATION/TRAINING REQUIRED
- Completion of a formal training program in a related discipline from a recognized institution plus two years of directly related experience.
OR
- Three years of directly related experiences.
EXPERIENCE:
- Minimum Two years of directly-related experience in progressively responsible positions in a medical office or healthcare setting required.
- A good understanding of the healthcare system and health practices is required.
- Knowledge of MS Word, MS Excel, MS Teams, Zoom, is required.
- Experience working in a First Nations and/or Inuit Healthcare setting would be considered an asset.
- Knowledge of University regulations, programs and procedures, especially as they relate to the Section of First Nations Métis and Inuit Health would be considered an asset.
- An acceptable equivalent combination of education and experience may be considered.
SKILLS and ABILITIES:
- Excellent oral and written communication and interpersonal skills are essential. Excellent spelling and grammar skills, including experience writing routine correspondence is required.
- Ability to maintain effective working relationships with various levels of patients and healthcare providers, professional, courteous and pleasant demeanour is required.
- Ability to establish and maintain effective working relationships with various levels of internal and external contacts, exercise initiative, sound judgment, diplomacy, professionalism and maintain confidentiality is required.
- Basic understanding of Medical Terminology, strong keyboarding, data entry skills is required.
- Ability to organize and handle competing priorities from multiple people,
including multiple Healthcare providers and staff at any given time is required.
- Strong time-management, prioritization and organizational skills, with attention to detail, and the ability to work effectively under pressure with confidential material is required.
- Ability to work independently and as a team member, make sound independent judgments, take initiative and problem solve is required.
- Must possess a dependable, consistent and reliable work record, including attendance at work is required.
- Must have clear Criminal Record and Child/Adult Abuse Registry check is required.
- A satisfactory work record, including satisfactory attendance and punctuality, is required.
Key responsibilities
- Excellent verbal and written communication skills, ability to maintain effective working relationships with various levels of patients and healthcare providers, professional, courteous and pleasant demeanour essential.
- Receives and signs patients in to clinic, ensuring proper documentation as required is completed.
- Acts as communication link for the clinic, answering telephone calls, determine urgency and forwarding calls or taking and relaying messages.
- Arranges to retrieve the patient charts from medical records, pulls and sorts charts.
- Processes daily mail including sorting, stamping and distributing.
- Types all meeting minutes.
- Arranges referrals for specialist appointments either by phone or by fax as well as diagnostic tests, mammograms etc.
- Books appointments for visiting specialists and Allied Health Care professionals (Physiotherapy) who are contracted by the Ongomiizwin.
- Maintains and orders necessary supplies for clinic as required.
- Transcribes, records, faxes and files documents.
- Photocopies, retrieves and follows up with faxes (sick notes to patient’s employer/school).
- Writes briefing notes, and other formal correspondences for health administrators/government.
- Prepares statistics on the daily census of patients.
- Collects and enters all required data collected for Advance Access.
- Provides DPIN information as requested by clinicians.
- Receives and maintains the security of confidential documents and information.
- Obtains billing information from physicians and reviews for accuracy and completeness.
- Registers all new patients into system.
- Codes all patient visits(MB Health and Third Party) with correct diagnosis code (ICD) and or tariff codes.
- Enters data into the computer and patient demographics
- Makes adjustments or queries as necessary.
- Corresponds directly with appropriate party agency and Manitoba Health on any rejected or unpaid claims; follows up promptly with all account queries and unpaid claims; advises physician regarding any questionable adjustments and provides documentation to physician as required.
- Provides UMG reports on status of each physician’s total billing, remittances and all outstanding accounts and/or discrepancies; balances twice yearly with UMG.
- Provides ongoing system management: procedures including performing file backup, maintenance of computer system; identifies and resolves equipment and procedure problems.
- Liaises with Asystar as on a routine basis or as required.
- Responsible for accepting and booking appointments, education and administration sessions on Telehealth via ischeduler for Percy E Moore Clinic and Hospital.
- Responsible for set up of Telehealth unit and equipment (camera, stethoscope and laptop) for Percy E Moore Clinic appointments, education and administration sessions.
- May be required to preform related duties not exceeding skills and capabilities as required.
