The Contract & Expediting Coordinator is responsible for managing the execution of procurement contracts and ensuring timely delivery of materials and equipment for projects. This role involves coordinating with suppliers, monitoring production and delivery schedules, and ensuring compliance with contractual terms and project timelines.
Key Responsibilities
1. Contract Execution
- Administer and monitor procurement contracts and purchase orders.
- Ensure suppliers comply with contractual terms, delivery schedules, and technical requirements.
- Track key contract milestones such as PO issuance, manufacturing progress, inspection, and shipment.
- Support contract amendments, change orders, and claims when necessary.
2. Expediting and Schedule Control
- Monitor supplier production schedules and delivery timelines.
- Proactively follow up with suppliers to ensure on-time delivery of equipment and materials.
- Identify potential delays and escalate risks to project and procurement management.
- Maintain accurate expediting reports and status updates.
3. Supplier Coordination
- Serve as the primary point of contact between the company and suppliers.
- Coordinate technical, commercial, and quality-related issues with vendors.
- Ensure timely submission of vendor documentation (drawings, data sheets, manufacturing records, etc.).
4. Logistics and Delivery Coordination
- Coordinate with logistics teams for shipment and delivery arrangements.
- Track shipping status and ensure materials arrive at project sites according to schedule.
- Support customs clearance and shipping documentation when required.
5. Reporting and Documentation
- Maintain procurement tracking systems and supplier records.
- Prepare procurement and expediting status reports for project teams.
- Ensure proper documentation and record management for contracts and procurement activities.
Qualifications
- Bachelor’s degree in Engineering, Supply Chain Management, Business Administration, or a related field.
- 3–8 years of experience in procurement, contract administration, or supply chain within the oil & gas, energy, or EPC industry.
- Experience with equipment procurement and supplier management is preferred.
- Knowledge of procurement and contract management processes.
- Familiarity with supplier performance monitoring and delivery tracking.
- Experience with ERP systems such as SAP or other procurement platforms.
- Ability to review technical and commercial documentation.
- Strong communication and coordination skills.
- Excellent organizational and time management abilities.
- Ability to manage multiple suppliers and project priorities.
- Strong problem-solving skills and attention to detail.
- Qualified English communication skills (written and verbal).
