Duties and Responsibilities
As a key member of the team, you will work to deliver exceptional client experience, ensure opportunity is always on the horizon, and overall support the advisory team to help create a smooth, efficient office environment. You will do this by:
· Understanding the advisors’ workflow to schedule appointments with existing clients and new prospects to generate sales opportunities
· Providing personalized customer service and administrative support to clients via telephone, email, and in person
· Generating reports and handling sensitive/confidential documentation by following regulatory compliance standards
· Completing form processes through our insurance providers
· Managing office tasks such as filing, client data system updates, generating reports, developing presentations, and setting up for meetings
· Supporting the advisor and team to create marketing/sales opportunities by mining client data, developing/coordinating campaigns, client service proactive contact, etc.
· Completing special projects in support of the advisor when needed
Qualifications
· Possess a minimum of 3 years administrative experience ideally working within a financial services environment
· Experience with financial planning, client relationship management (CRM), and portfolio management (PM) software is an asset
· Strong communication and interpersonal skills with the ability to provide effective and efficient customer service
· Exemplary computer skills with proficiency in Microsoft Office and the ability to quickly learn recent programs and systems
· Proven ability to multi-task and manage time effectively using critical thinking skills and detail-oriented focus to prioritize tasks
· Resilient in the face of a challenge by being proactive and self-starting
· Consistently practices composure, integrity, and transparency when working with internal and external parties
· Strong relationship-building skills and desire to be a part of a team, but versatile when confronted with an independent task
· Diploma/Degree in Business Administration or equivalent an asset
· Investment licensed or LLQP licensed (or ability to attain) is an asset, although not required
· Actively pursuing financial planning courses is an asset, not required
