We’re seeking a highly organized and detail-oriented Administrative Associate/Executive Assistant to join one of our Toronto based teams. In this role, you will provide on-going Administrative/Executive support to the Senior Principal (and team). Our Administrative Associate/EA assists in the smooth running of the practice, maintaining organization of the Senior Principal’s calendars/schedules, and promotes overall organizational efficiency.
This role is well suited to an enthusiastic, motivated individual who will provide us with a high level of administrative support and service, enabling the team to provide the service that our clients have come to expect. You take pride in the work you do and can navigate a significant level of scheduling and appointment coordination as well as follow-up after meetings, which can sometimes be like putting together puzzle pieces.
Located in Downtown Toronto, Ontario, this is a full-time, in-office position.
Main functions of the job:
- Administrative/Executive support – Provide comprehensive administrative support which includes managing calendars, travel, and logistics for the Senior Principal with precision and proactivity, support with correspondence, prepare materials, presentations, reports, and research ahead of key meetings, maintain systems and processes that make the office efficient, organized, and professional, and identify administrative process improvements.
- Scheduling and coordination – monitor the Senior Principal’s busy and complex calendar,
book meeting spaces, coordinate various meetings (client, prospects, etc.), update calendars, make lunch/dinner reservations, manage webinar/event/seminar registrations, etc.
- Client paperwork, communication and support – Manage client onboarding and a high volume of client related account and custodial paperwork, communicate with clients regularly, assist with online access, regular correspondence work, and manage newsletters. Support in client events and client recognition programs.
- Data and records maintenance – input and update client and contact information, filing/document management, maintain accurate and comprehensive records in the contact management system and oversee annual license renewals for the team.
- Office management - maintain organizational standards in the office which includes keeping the office tidy, light cleaning, organizing, returning dishes to the kitchen, serving beverages to clients, and everything else that keeps the office running smoothly.

What we’re looking for:
- Experienced administrative/executive assistant who understands the importance of this support role to the Senior Principal and team.
- Exceptional accuracy and attention to detail, displaying a sense of urgency.
- Must be able to work effectively and efficiently within a team in a fast-paced environment
- Efficiently prioritize and manage multiple tasks and deadlines, demonstrating foresight in anticipating needs and proactively addressing possible challenges.
- Adaptable to change and growth in workflows and processes.
- High integrity, strong work ethic, and the ability to maintain confidentiality and show discretion.
- Ability to build effective relationships with internal and external parties – you relate to people in an open, positive and friendly manner.
- Superior organizational and time management skills.
- Explicit communication and problem-solving abilities.
- Advanced proficiency in the Microsoft Office Suite, with a demonstrated ability to leverage technology to enhance administrative processes.
- Curiosity about wealth planning and investing is an asset.
Education & Experience:
- Ideally 5+ years of administrative support or related experience.
- Post secondary education is preferred but we will consider proven administrative/ executive assistant experience.
- Experience in the finance/investment industry or as a legal assistant would be considered an asset.
We offer a competitive starting salary $60,000 - $85,000 (commensurate with experience), a comprehensive benefits package, and opportunities for ongoing training and professional growth within a collaborative and high-performing team.
