Job Title: Administrative Associate

About the Role

The Executive Administrative Associate is a dynamic, high-impact role designed for a highly adaptable professional with a genuine passion for property development, procurement, and office management. As a key member of the Executive Office Team, you will partner directly with senior leadership to ensure our day-to-day operations run seamlessly while taking on versatile tasks that span across departments.

You will operate as the organizational backbone of the executive team, bridging the gap between strategy and daily execution. Whether you are conducting deep, AI-assisted research, assisting with HR and procurement initiatives, or drafting complex reports, this role requires incredible flexibility. Key Responsibilities

- Executive Support & Office Management: Provide comprehensive administrative support to the CEO, VP, and Chief of Staff, ensuring the executive office operates smoothly and efficiently.
- Cross-Functional Execution: Flexibly take on diverse tasks across various fields, seamlessly shifting between procurement initiatives, HR administrative duties, and core operational support.
- Deep Research & AI Utilization:



Leverage advanced search techniques and modern AI tools to gather intelligence, analyze data, and support executive decision-making.
- Advanced Reporting: Design, format, and generate clear documentation, briefs, presentations, and dashboards utilizing Microsoft Word, PowerPoint, and Power BI.
- Process Improvement: Identify administrative inefficiencies and propose actionable operational improvements for the office and executive workflows.
- Stakeholder Alignment: Facilitate communication across departments, ensuring cross-functional alignment on executive priorities.

- Technical & Reporting Proficiency: Strong hands-on experience creating reports, presentations, and dashboards using Word, PowerPoint, and Power BI.
- Modern Research Skills: Exceptional, deep-searching abilities with practical experience utilizing AI tools to optimize research and output.
- Ultimate Adaptability: The flexibility to confidently step into unfamiliar territory, juggling responsibilities across HR, procurement, and general administration.
- Problem-Solving Mindset: A proactive, independent thinker with a high degree of ownership, initiative, and an absolute "no-task-too-small" attitude.
- Communication & Composure: Strong writing and interpersonal skills, with the emotional intelligence to thrive in a fast-paced, energetic environment.

Preferred Qualifications

- 2–4 years of experience in administrative support, office management, operations, or similar agile environments.
- Demonstrated experience working closely with senior leadership or executive teams.
- Bachelor’s degree or equivalent practical experience.

Job Types: Full-time, Permanent

Pay: $20.00-$24.00 per hour
