We're a small structural engineering firm run by principals who are very good at engineering and somewhat less good at remembering to book their own travel. That's where you come in.
This isn't a traditional office admin role. We don't have a front desk to staff or a filing room to manage. What we have is a fast-moving practice, a growing team, and a constant backlog of things that need to get done but keep getting pushed because nobody has time to do them. You're the person who clears that backlog — and then stays ahead of it.
What the job actually looks like
On the firm side: keeping the office running. That means coordinating schedules, managing correspondence, creating and tracking invoices and project files, booking travel, ordering supplies, liaising with consultants and clients when needed, and generally keeping things from falling through the cracks.
On the personal side: helping the partners with the kind of tasks that don't fit neatly in a job description — sourcing vendors, coordinating personal appointments, occasional research, and whatever else comes up in the life of two people who don't have enough hours in the day.
No two weeks will look exactly the same. That's either exciting or alarming, depending on who you are. If it's the latter, this probably isn't your role.
What we need
- Proven organizational skills — you're the person in your life who has a system for everything
- Robust written communication; you'll be composing and sending correspondence on behalf of the principals
- Discretion — you'll have access to personal and professional information and we need to trust you with it completely
- Comfort with digital tools: Microsoft 365, scheduling platforms, and enough tech confidence to figure out something new when needed
- The ability to prioritize and pivot without being directed to do so
- A calm disposition when things are busy (they will be)
What will make you stand out
Experience supporting senior staff. Familiarity with the professional services or design/engineering world — you'll understand the rhythm of the work better. The kind of proactive instinct that means you solve the problem before we know it exists.
