Job Summary
We are seeking a professional and organized Receptionist/Secretary to join our team. This role is vital in ensuring smooth daily operations by managing front desk activities, providing excellent customer service, and supporting administrative functions. The ideal candidate will have strong office experience, excellent communication skills, and proficiency in various computer applications including Microsoft Office, QuickBooks, and Google Workspace. Previous auto industry experience is a plus. This position offers an opportunity to work in a dynamic environment where organizational skills and attention to detail are highly valued.
Responsibilities
- Greet visitors and clients warmly at the front desk, maintaining a professional and friendly demeanor
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and maintain calendars for staff or practitioners
- Perform data entry tasks accurately using office software and QuickBooks
- Handle filing, record keeping, and document management with attention to detail
- Assist with billing, invoicing, and basic bookkeeping functions as needed
- Provide exceptional customer service by addressing inquiries via phone or in person
- Proofread correspondence and documents for accuracy before distribution
- Support administrative tasks such as faxing, scanning, and photocopying
- Maintain a clean and organized reception area to promote a welcoming environment
- Support other clerical duties including typing reports, managing supplies, and supporting team members
Qualifications
- Proven office experience with strong clerical skills and familiarity with front desk operations
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with QuickBooks or similar bookkeeping software is preferred
- Excellent computer skills including data entry, proofreading, and document management
- Strong organizational skills with the ability to multitask efficiently in a fast-paced workplace
- Exceptional customer service skills with professional phone etiquette and communication abilities
- Previous medical or dental office experience is highly desirable
- Ability to handle multi-line phone systems confidently and professionally
- High school diploma or equivalent required; additional administrative or office certifications are a plus
