Summary:
The HSE Administrator supports the company's health, safety, and environmental programs across Alberta, Saskatchewan, and British Columbia through effective administration, recordkeeping, compliance tracking, and safety system management. Working closely with the NCSO Safety Manager, operations personnel, and field employees, this role coordinates training and compliance requirements, maintains safety records and documentation, tracks certifications and permits, and supports the efficient administration of HSE programs.
Duties & Responsibilities:
Training, Systems & Employee Administration:
- Coordinate new hire and rehire onboarding, including assignment and tracking of orientations, training, certifications, and competency requirements.
- Maintain employee profiles, training matrices, certificates, system access, and safety records within BIStrainer and other company safety platforms.
- Provide routine support for safety systems, mobile devices, and digital forms while ensuring records remain accurate and up to date.
- Monitor training and certification expiries and follow up to ensure compliance requirements are completed before dispatching.
Records, Compliance & Program Administration:
- Maintain accurate employee, project, subcontractor, equipment, and compliance records to support regulatory, client, and company requirements.
- Review and organize field documentation, follow up on incomplete submissions, and monitor corrective action completion.
- Coordinate routine drug and alcohol testing, fitness-for-duty evaluations, driver abstracts, and related confidential records.
- Provide administrative support for incident files, WCB claims, return-to-work programs, insurance files, contractor prequalification systems, and client compliance documentation.
- Support safety communications, committee activities, employee inquiries, reporting, and ongoing safety program administration.
- Escalate compliance concerns, overdue corrective actions, certificate expiries, or potential regulatory issues to the NCSO Safety Manager.
Certificates, Permits & Workplace Compliance:
- Track and coordinate renewals of Safety Fitness Certificates, permits, licenses, and other compliance-related requirements while maintaining a master renewal register.
- Conduct quarterly office inspections, track corrective actions, and ensure required workplace safety postings remain current.
- Maintain Safety Data Sheet (SDS) inventories and records, complete annual reviews, and update documentation when products change.
- Escalate changes that may impact hazards, PPE requirements, procedures, storage practices, or emergency response planning.
Work Workplace:
This position is primarily office-based and supports the administration of the company's health, safety,
and environmental programs across Alberta, Saskatchewan, and British Columbia. The HSE Administrator works closely with the NCSO Safety Manager, operations personnel, supervisors, and employees to maintain safety systems, training records, compliance documentation, and regulatory filings. The role requires strong organization, attention to detail, confidentiality, and the ability to manage multiple priorities and deadlines in a fast-paced environment.
Qualifications:
Required:
- Minimum 2-3 years of administrative experience in health and safety, transportation, construction, industrial, or related environments.
- Experience maintaining compliance records, training documentation, and administrative filing systems.
- Proficiency with Microsoft Office applications, including Excel, Word, Outlook, and Teams.
- Experience using safety management software and digital documentation systems.
- Strong organizational, communication, and time-management skills.
- Ability to maintain confidential information and handle sensitive employee records appropriately.
- Strong attention to detail and ability to manage multiple deadlines simultaneously.
- Valid Class 5 driver's license.
Assets:
- Post-secondary education in Occupational Health & Safety, Business Administration, Human Resources, or a related field.
- Experience with BIStrainer/BIS Safety, SafeTapp, MEGA, Avetta, ISNetworld, or similar systems.
- Experience supporting WCB administration, return-to-work programs, or transportation compliance activities.
- Knowledge of COR/SECOR.
- First Aid certification.
