HVAC Project Coordinator & Estimator

The Opportunity

We're seeking a HVAC Project Coordinator & Estimator to join our Commercial Projects team. This role provides vital

administrative, technical estimating, and organizational support to ensure our commercial HVAC and mechanical

projects run smoothly from pre-construction tender through final close-out. The ideal candidate is detail-oriented,

proactive, and thrives in a fast-paced, team-focused environment.

Key Responsibilities

- Support Project Managers in coordinating all aspects of commercial HVAC, ventilation, and sheet metal

projects from tender through completion.
- Conduct mechanical and equipment take-offs, gather accurate HVAC supplier and manufacturer quotes,

prepare bid documentation, and organize tender submissions.
- Track and update pricing, change orders, and scope adjustments for HVAC systems throughout the project

lifecycle.
- Prepare and maintain critical project documentation, including equipment submittals, HVAC/refrigeration

layouts, RFIs, and change orders.
- Coordinate procurement and material tracking for specialized equipment (e.g., RTUs, ducting, split

systems) to ensure timely delivery and cost accuracy.
- Maintain organized project files, digital blueprints, and correspondence in both digital and physical formats.




- Schedule and record project meetings, distribute minutes, and monitor follow-up actions.
- Support communication between clients, subcontractors, vendors, and internal departments.
- Collaborate with accounting and project management teams to support job costing, progress billing, and

reporting.

- Monitor project progress, identify potential scheduling or sheet metal layout/documentation issues, and

assist in resolving them.
- Provide general administrative and coordination support to the HVAC department as needed.

Qualifications

- 2-4 years of experience in construction, mechanical, estimating, or project coordination (commercial or

industrial HVAC/sheet metal environments preferred).
- Strong organizational, multitasking, and communication skills with keen attention to detail.
- Demonstrated experience assisting with tender submissions, material take-offs, and pricing breakdowns.
- Proficiency in Microsoft Office and/or Google Workspace; familiarity with mechanical estimating or project

management software preferred.

- Solid understanding of construction documentation such as submittals, mechanical drawings, RFIs, and

change orders.
- Ability to collaborate effectively with multiple departments and manage competing priorities in a

deadline-driven environment.
