Job Summary

We are seeking an experienced, highly organized Senior Administrator to provide broad administrative, operational, and finance-adjacent support to the Controller and management team. This role is ideal for a confident administrator who can manage competing priorities, maintain accurate records, coordinate internal processes, and help build scalable systems for a growing manufacturing business.

The Senior Administrator will be a key point of coordination across office administration, vendor and customer communication, document control, purchasing support, financial administration, reporting support, and special projects. The successful candidate will bring strong judgment, professionalism, follow-through, and a practical process-improvement mindset.

Key ResponsibilitiesOffice Administration & Coordination

- Act as a senior administrative resource for the Controller, management team, and broader office operations.
- Coordinate day-to-day office activities, calendars, documentation, communications, and follow-ups to support smooth business operations.
- Maintain organized electronic and physical filing systems, ensuring records are complete, accurate, and easy to retrieve.
- Prepare, format, proofread, and distribute internal documents, reports, correspondence, forms, and meeting materials.
- Support onboarding administration, employee documentation, training records, and policy acknowledgements as required.
- Manage administrative data within company systems, ensuring accuracy, consistency, and confidentiality.
- Assist with office supplies, vendor coordination, purchase requests, courier/shipping support, and general facility-related administration.
- Coordinate special projects and cross-functional requests, ensuring deadlines, owners, and next steps are clearly tracked.

Accounting & Financial Administration Support

- Provide finance-adjacent administrative support, including accounts payable coordination, invoice processing support, customer invoicing assistance, and vendor/customer account inquiries.
- Track, organize, and reconcile supporting documentation for expense submissions, credit card transactions, purchase orders, and other routine financial records.
- Assist with account reconciliations, month-end support, and audit preparation by gathering documentation and following up on outstanding items.
- Generate routine reports,



maintain spreadsheets, and support basic financial analysis or data validation as required.
- Identify discrepancies, missing documentation, or process gaps and escalate issues with clear supporting details.
- Maintain accurate accounting and administrative records in accordance with company procedures.

Process Improvement & Systems Support

- Support the development, documentation, and improvement of administrative and accounting processes as the company grows.
- Help build repeatable workflows, checklists, templates, and tracking tools that improve consistency and accountability.
- Use Microsoft Excel, Outlook, Word, and company systems to organize data, monitor statuses, and improve administrative efficiency.
- Support adoption of new systems, reporting tools, or process changes by assisting with documentation, data cleanup, and team coordination.

Safety, Compliance & Professional Standards

- Adhere to company policies, procedures, safety requirements, and employment guidelines.
- Maintain confidentiality and professionalism when handling financial, employee, customer, vendor, and company information.
- Use sound judgment and act in the best interests of the company and its stakeholders when dealing with unusual situations or challenges.
- Represent Alexander Tubular LP with professionalism, accountability, and a service-oriented approach.

Required Qualifications

- 5+ years of progressive administrative, office coordination, financial administration, or related business support experience.
- Strong administrative capability with demonstrated ability to manage multiple priorities, deadlines, and stakeholders.
- Experience supporting accounting or finance functions such as accounts payable, invoicing, reconciliations, expense tracking, documentation, or reporting.
- Strong proficiency with Microsoft Excel, Word, Outlook, and other Microsoft Office applications.
- Excellent written and verbal communication skills, with strong attention to detail and accuracy.
- Ability to work independently, anticipate needs, follow through on open items, and contribute to a collaborative team environment.
- Sound judgment, discretion, professionalism, and a high degree of accountability.

Preferred Qualifications

- Experience with QuickBooks Online or other accounting/ERP systems.
- Experience in manufacturing, industrial, wholesale distribution, construction, inventory-based, or project-driven businesses.
- Experience supporting audits, reporting packages, process improvement initiatives, compliance documentation,



or executive/management administration.
- Comfort working in a growing organization where systems, processes, and responsibilities continue to evolve.

Work Environment

We are a highly collaborative team and work together in the office on a standard schedule. This role requires comfort balancing routine administrative work with changing priorities, time-sensitive requests, and hands-on support for a growing manufacturing organization.
