About the Role
We are looking for a highly organized and detail-oriented Administrative Coordinator to join our growing team. This position plays an key role in supporting our administrative and sales functions, ensuring day-to-day operations run efficiently while contributing to an exceptional client experience.
The ideal candidate is proactive, adaptable, and enjoys creating structure in a fast-paced environment where priorities can change throughout the day.
Responsibilities
- Prepare and format client quotations using company templates
- Complete and distribute project completion reports
- Coordinate and schedule client appointments by phone
- Assist with client outreach initiatives and follow-up communications
- Support the planning and coordination of company events and client appreciation activities
- Maintain accurate records, files, and documentation
- Update and maintain CRM records and client information
- Provide administrative support to the sales and management teams
- Assist with data entry and document management
- Monitor shared inboxes and direct inquiries appropriately
- Perform general administrative duties as required
- Attend industry events when required
- Carry out other duties as assigned
Qualifications
Required Skills & Experience
- Minimum 2 years of experience in an administrative, customer support, or coordinator role
- Excellent organizational and time management skills
- Strong attention to detail and accuracy
- Ability to manage multiple priorities in a fast-paced environment
- Strong written and verbal communication skills
- Comfortable communicating with clients by phone and email
- Proficient in Microsoft Office, including:
- Excel
- Word
- Outlook
- Teams
- Ability to work independently while contributing to a collaborative team environment
Preferred Qualifications
- Experience supporting a sales or service team
- Previous experience in a client-facing role
- Experience using CRM software
- Experience in a service-based or construction-related industry is considered an asset

Requirements
- High school diploma
- Valid driver's licence
- Fluent in English (written and verbal)
Schedule & Work Location
- Full-time
- Monday to Friday
- 7:30 a.m. – 3:30 p.m.
- On-site position based in Port Coquitlam, BC
Pay: $20.00-$24.00 per hour
