Position: Program Supervisor
Department: Adult Day Program
Direct Report: Centre Manager
Positions Reporting to Program Supervisor on Secondary Level: Program Aides, PSW’s, DSW’s. These positions have a secondary reporting relationship to the Program Supervisor for day-to-day operational guidance and task coordination. These employees report primarily to the Program Manager for HR and administrative matters.
Purpose
The Program Supervisor is responsible for supporting the Centre Manager, leading staff and supporting program participants to ensure consistent, high-quality program delivery. This role improves efficiency, minimizes confusion and conflict among staff and clients while enhancing the overall client experience.
General Description
Reporting to the Centre Manager, the Program Supervisor supports the successful delivery of the Adult Day Program. This role provides leadership, oversees implementation and evaluation of program plans, and ensures alignment with the organization’s mission, vision, and values. The Supervisor plays a critical role in the delivery of diverse, inclusive, and adaptive programming for individuals with intellectual and developmental disabilities.
Key Roles and Responsibilities
Program Supervision & Delivery
- Direct and support entire program staff, ensuring adherence to policies and quality standards.
- Monitor daily operations across program floors, ensuring activities follow schedules and staffing ratios are maintained.
- Implement necessary adjustments to schedules and group activities in response to staffing or attendance changes.
- Facilitate and lead program activities as needed.
- Identify risks to the Centre Manager and collaborate on possible solutions.
- Lead program planning, implementing, and evaluating diverse programming (e.g., educational, sensory, life skills).
- Observe staff-client interactions and provide coaching and feedback.
- Assist in the development of inclusive recreational and community-based activities.
- Participate in client intake processes, including tours, trial visits, and application assessments.
- Assist in evaluating client suitability for program.
- Provide back-up support in program, as needed.
- Participate in emergency on-call evening and weekend rotation with the Centre Manager, as needed.
Staff Scheduling, Payroll & Communication
- Assist with creating program and staff schedules
- Liaise between Centre Manager and support workers to ensure a clear path of communication, including, not limited to, relaying instructions, feedback and concerns.
- Ensure appropriate staffing levels to meet client needs.
- Facilitate effective communication between program staff and management.
- Support team meetings and conduct daily/weekly huddles.
- Maintain a respectful, team-oriented setting.
- Assist with communicating any issues with families/caregivers in a timely manner and clarifying any doubts about each client’s care plan such as medication administration with families/caregivers.
- Assist Centre Manager with community outreaching and building relationships to increase participant enrollment in the program. Including occasionally attending information fairs and community events.
- Serve as backup for payroll processing by verifying staff hours and ensuring timely and accurate data entry.
Operational Integrity, Governance & Safety
- Ensure compliance with all organizational policies and procedures.
- Act as a Health and Safety Representative and assist with emergency protocols.
- Conduct regular equipment checks and report issues promptly.
- Help develop action plans aligned with strategic goals.
- Serve as a back-up alarm monitoring contact.
Other duties as required
Qualifications & Requirements
- Post-secondary education and/or experience in supporting adults with intellectual and developmental disabilities.
- Proven leadership skills with a collaborative and supportive management approach.
- Strong communication, observation, and listening abilities.
- Excellent planning, time management, and problem-solving skills.
- Certified in First Aid, CPR, and Crisis Prevention (CPI) training.
- Proficient in computer systems; experience with Dayforce is an asset.
- Vulnerable Sector Screening clearance.
- Bilingualism in Portuguese is an asset.

Pay: $49,000.00-$52,000.00 per hour
