Job Overview
We are seeking a highly organized and detail-oriented Administrative Assistant who will work as part of our team. The ideal candidate must possess excellent written and verbal communication skills, and proficiency with various office software. Experience in immigration office setting is a plus. We are looking to fill this position immediately.

Duties

- Manage front desk responsibilities, including greeting visitors and answering the phone with professionalism and courtesy
- Prepare immigration applications such as work permit, study permit, family class, economic immigration, LMIA, etc.
- Perform data entry and maintain accurate records using Microsoft Office, and other software as required
- Open, organize, maintain and close clients' files
- Work collaboratively to ensure invoices are paid in a timely manner
- Handle filing, document proofreading, and general administrative support to staff and management
- Provide customer support by addressing inquiries via phone or email and scheduling appointments as needed




- Maintain organization of office supplies and ensure the workspace is tidy and efficient
- Support special projects or tasks as assigned by management

Experience

- 1-2 years of administrative experience in immigration preferred
- Proficient with Microsoft Office (Word, Adobe PDF, Outlook, etc.), and data entry skills required
- Excellent command of English (reading, writing and speaking)
- Proficient in Punjabi (speaking only)
- Experience with IRCC, LMIA and other immigration portals
- Strong organizational skills with the ability to multitask efficiently
- Excellent phone etiquette and organizational skills are highly desirable
