The Parts Advisor is the Dealership’s parts sales representative. The job encompasses supplying the required parts and accessories to guests, wholesale clients and technicians, receiving and storing parts, and the accurate performance of designated administrative duties.
A. SPECIFIC RESPONSIBILITIES: General
- Maintain a high level of grooming, hygiene and dress consistent with the duties of the position. This may include the wearing of uniforms designated by management.
- Arrive at work, take breaks and depart work at the times designated by management.
- Report to management any situation or condition that jeopardizes the safety, welfare or integrity of the dealership.
- Perform other duties as assigned by management.
B. SPECIFIC RESPONSIBILITIES: Customer Relations
- Promptly meet and greet guests in a friendly and courteous manner.
- Listen to guests’ reasons for requesting certain parts and accessories.
- Offer appropriate parts or accessories to satisfy guest requirements.
- Provide accurate quotes for all parts or accessories recommended.
- Handle minor guest complaints and /or misunderstandings tactfully, promptly and with genuine concern for the guest’s problem..
- Refer to the parts manager with complaints that cannot be satisfied at the parts advisor level.
- Answer incoming telephone calls promptly and courteously.
- Make every reasonable effort to make the parts purchase experience as pleasant as possible for the guest. .
D.
SPECIFIC RESPONSIBILITIES: Training
- Attend training courses as directed by Parts management
- Review all applicable parts & service bulletins and other technical publications.
- Complete TU on-line Advisor Guild training courses as directed by Parts management.
E. SPECIFIC RESPONSIBILITIES: Administration
- Ensure guest information on file is accurate and update as necessary.
- Prepare and maintain invoices for retail and wholesale parts and accessories sales.
- Maintain a special order follow-up system.
- Maintain the special order shelf
- Return special orders not picked up by the predetermined return date as per department policies.
- Record lost parts sales.
- Complete the parts portion of service repair orders.
- Perform other administrative functions as directed by the parts manager.
F. SPECIFIC RESPONSIBILITIES: Parts Ordering and Stocking
- Advise parts manager of any irregularities in the stock.
- Receive parts shipments from TCI PDC’s and verify shipment against order.
- Report any discrepancy or damage to the parts manager.
- Stock parts according to the “7 Toyota Storage Techniques”.
- Update the inventory in the computer system.
- Conduct inventory cycle counts on a weekly or monthly basis as directed by the parts manager.
- Advise parts manager of any discrepancies found during cycle count.
- Assist in conducting year-end inventory.
G. SPECIFIC RESPONSIBILITIES: Parts Picking
- Monitor parts printer for repair orders and review R/O’s for needed parts.
- Pick parts required and place them in parts pre-pick bin.
- Receive technician parts orders and pick requested parts
- Pick parts required for additional needed repairs and deliver to the technician stall when able.
- Pick and pack parts for wholesale orders.
H. SPECIFIC RESPONSIBILITIES: Communication
- Provide requested parts information (applicability, availability and pricing) to technicians and service advisors as required.
- Provide requested parts information (applicability, availability and pricing) to guest and wholesale clients.
- Advise service department of the arrival of special order parts and back-ordered parts.
- Advise guest and wholesale clients of the arrival of special order parts and back-ordered parts.
- Maintain communications with service staff concerning supercessions and applicability information.
- Inform sales department of potential opportunities for new vehicle sales.
- Maintain regular contact with wholesale clients.
QUALIFICATIONS: Community College in a related discipline preferred; 1 year experience in an Automobile Dealership parts environment. Good analytical skills. Positive people skills. Good organizational skills. Good PC skills.

Pay: $19.00-$23.00 per hour
