Regional Operations Manager
Department: Operations
Reports To: Director of Operations
About the Role
Guardteck is seeking a Regional Operations Manager to support day-to-day operations across an assigned portfolio of client sites.
This hands-on role is responsible for maintaining staffing coverage, supporting frontline employees, coordinating with dispatch, monitoring site performance, and responding to operational issues. The Regional Operations Manager will also oversee vehicles, mobile devices, and other equipment assigned to the portfolio.
Working closely with the Director of Operations, Account Managers, dispatch, mobile teams, supervisors, and frontline employees, you will help ensure sites operate efficiently and consistently meet Guardteck’s service standards and client requirements.
The ideal candidate is organized, responsive, and comfortable making decisions in a fast-paced environment. You enjoy solving operational problems, supporting employees, and keeping multiple sites running smoothly.
What You’ll Do
Support Site Operations
- Support daily security operations across assigned client sites.
- Ensure employees follow Guardteck’s policies, procedures, post orders, and service standards.
- Review security reports, incident reports, and daily updates to identify concerns, trends, and coaching opportunities.
- Conduct regular site visits, employee check-ins, audits, and performance reviews.
- Coach employees and address performance or conduct concerns when required.
- Coordinate the distribution, collection, and tracking of keys, mobile devices, uniforms, and other operational equipment.
- Support new contract launches by ensuring employees have the information, training, tools, and resources required to succeed.
- Respond to after-hours emergencies and escalate responsible incidents or operational concerns when required.
Coordinate Staffing, Scheduling, and Dispatch
- Monitor schedules and work with dispatch to ensure shifts are properly staffed.
- Review open shifts in Shiftboard and proactively support urgent and longer-term coverage needs.
- Assist dispatch with last-minute book-offs, open shifts,
and ad hoc coverage requests.
- Contact qualified employees to help fill available shifts and maintain service coverage.
- Ensure ad hoc requests are accurately entered and staffed in Shiftboard and WinTeam.
- Confirm shift descriptions accurately reflect site duties, expectations, and requirements.
- Coordinate supervisor visits for new, temporary, or ad hoc sites when required.
- Help identify permanent employees for extended coverage needs to improve consistency and reduce turnover.
- Ensure eligible employees have the appropriate averaging agreements in place.
Maintain Payroll and Employee Administration
- Update WinTeam to ensure employee hours are accurate before payroll deadlines.
- Review scheduling information for accuracy and address discrepancies when identified.
- Submit payroll corrections, vacation requests, reimbursements, uniform requests, and other employee updates as required.
- Maintain accurate operational records and ensure follow-up items are completed on time.
Support Clients and Account Managers
- Meet regularly with Account Managers to review staffing, service delivery, site concerns, and improvement opportunities.
- Keep Account Managers informed of incidents, staffing changes, site developments, and operational risks.
- Respond promptly to requests from Account Managers and internal support teams.
- Attend client meetings when required to support communication, relationship management, and service delivery.
- Help ensure operational commitments and client expectations are clearly communicated to site teams.
- Support practical solutions to recurring staffing, employee, and service-delivery concerns.
Oversee Fleet, Devices, and Equipment
- Manage vehicles, mobile devices, and operational equipment assigned to the portfolio.
- Coordinate vehicle maintenance and keep service records current in PosiTrace.
- Review PosiTrace regularly to monitor vehicle use and identify possible concerns.
- Address GPS-related issues such as speeding, hard braking, extended stops, or potential misuse.
- Confirm dashcams are functioning and conduct periodic audits.
- Work with Kandor Fleet Support to report and resolve fleet-related concerns.
- Ensure mobile devices used by supervisors and static sites remain operational.
- Troubleshoot basic device issues and escalate technical concerns to the appropriate internal team.
- Promote responsible use and accurate tracking of company vehicles, devices, keys, and equipment.
What You Bring
- Experience supporting multi-site operations, preferably within security, facilities, property services, or another frontline service environment.
- Experience coordinating staffing, scheduling, dispatch, or workforce coverage.
- Strong leadership skills with the ability to coach, support, motivate, and hold employees accountable.
- Excellent customer service and written and verbal communication skills.
- Sound judgment and the ability to make timely decisions under pressure.
- Strong conflict-resolution, problem-solving, and incident-investigation skills.
- Excellent organization, planning, time management, and follow-through.
- Ability to manage multiple priorities while maintaining accuracy and service quality.
- Strong interpersonal skills and the ability to build positive relationships with employees, clients, and internal teams.
- Ability to work independently while collaborating effectively with others.
- Comfortable using scheduling, payroll, HRIS, fleet-management, and reporting systems.
- Proficiency with Microsoft Office, including Word, Excel, Outlook, and Teams.
- Availability to respond to urgent operational matters outside regular business hours when required.
Assets
- A diploma in Business, Justice Studies, Security Management, or a related field, or an equivalent combination of education and experience.
- Experience with Dayforce, WinTeam, Shiftboard, PosiTrace, Lighthouse, ATS, or similar operational systems.
- Experience supporting contract launches, temporary sites, events, or ad hoc security coverage.
- Experience overseeing vehicles, mobile devices, or other operational equipment.
