Position Overview
We are seeking a highly organized, proactive, and discreet Executive Assistant to support two owners in a family business across both business and personal matters. This full-time, in-person role requires exceptional judgment, strong prioritization skills, and the ability to manage confidential information, and day-to-day operations with professionalism and efficiency.
The ideal candidate thrives in a fast-paced environment, anticipates needs, and serves as a trusted partner who enables the owners to focus on high-level priorities.
Key Responsibilities
- Support business operations, including document preparation, research, meeting notes, and follow-up actions
- Organize and maintain confidential files, records, and information with the highest level of discretion
- Plan and coordinate events, dinners, and special projects (business and personal)
- Handle personal errands, appointments, household coordination, and lifestyle management
- Serve as a primary point of contact and liaison with internal teams, external partners, vendors, and service providers
- Anticipate needs, solve problems independently, and proactively manage competing priorities
- Perform other administrative and support duties as assigned
Qualifications
- Proven experience as an Executive Assistant, Personal Assistant, or in a similar high-level support role (preferably supporting C-level executives or principals)
- Exceptional organizational, time-management, and multitasking abilities
- Outstanding written and verbal communication skills
- High degree of professionalism, discretion, and integrity when handling sensitive information
- Strong problem-solving skills and the ability to work independently with minimal supervision
- Proficiency with calendar tools, email platforms, Microsoft Office/Google Workspace, and common productivity applications
- Flexibility and willingness to adapt to changing priorities and occasional after-hours or weekend needs
- Reliable transportation and ability to work in office daily
Preferred Qualifications
- Experience supporting multiple principals or working in a family-office or entrepreneurial environment
- Background handling both professional and personal/lifestyle support
- Familiarity with travel booking, event planning, and vendor management
- Prior experience in a fast-paced small business or start-up setting

Pay: $70,000.00-$100,000.00 per year
