Position Summary
The Administrative Coordinator supports core administrative and coordination functions of NPAA, including membership administration, event coordination, communications workflow, and research and drafting of new non-repayable funding applications. This is an operational role working under the direction of the Executive Director and does not include strategic decision-making, budget authority, or management of the NPPCP grant. The successful candidate will be primarily focused on coordinating and managing the Mentorship program and NP Primary Care Program.

Key Responsibilities

Membership Administration

- Process new membership applications
- Confirm eligibility categories using established criteria
- Enter and maintain accurate member records in the database
- Issue confirmation emails and receipts
- Manage renewal reminders and follow-up on overdue accounts
- Respond to routine membership inquiries
- Maintain accurate and up-to-date membership files
- Prepare monthly and AGM membership summary reports
- Ensure data accuracy and integrity within membership systems

Event and Conference Coordination

- Plan and coordinate logistics for NPAA events and meetings
- Secure venues and manage bookings
- Coordinate registration and attendee tracking




- Liaise with speakers and confirm materials
- Prepare event communications and reminders
- Support on-site coordination as required
- Maintain organized event documentation and records

Communications Workflow Support

- Maintain the newsletter editorial calendar
- Track content submissions and deadlines
- Follow up on outstanding content
- Coordinate newsletter production workflow
- Format and distribute newsletters
- Post approved updates to the website
- Maintain event listings and routine website pages
- Maintain organized communications files

Mentorship Program Coordination

- Support the coordination and administration of NPAA mentorship activities
- Maintain mentor and mentee records
- Track applications, mentor and mentee matches, participation, follow-up dates, and required documentation
- Schedule mentorship meetings, orientation sessions, and check-ins as required
- Prepare and distribute mentorship communications, reminders, and routine program updates
- Support the use and maintenance of mentorship tracking tools or platforms
- Collect routine feedback from mentors and mentees
- Maintain organized mentorship files, agreements, and program documentation
- Prepare summary updates
- Escalate concerns, risks, or sensitive participant matters

New Non-Repayable Funding Support

- Research funding opportunities aligned with NPAA priorities




- Review eligibility criteria and deadlines
- Maintain a funding opportunity tracker
- Draft grant applications under the direction of NPAA leadership
- Assemble required attachments and supporting documentation
- Track submission deadlines and funding decisions
- Maintain organized records of applications and reporting requirements

Accountability and Decision-Making

- Operates within established policies and procedures
- Escalates exceptions, risks, or sensitive matters to the Executive Director

Skills and Qualifications

- Bachelor’s degree in business administration, communications, public administration, nonprofit management, or a related field
- Experience in administrative coordination or operational support
- Experience coordinating events, or conferences
- Robust organizational and time-management skills
- Strong written communication skills
- Ability to manage multiple priorities and deadlines
- Proficiency with Microsoft Office, Google Workspace, and digital collaboration tool
- Experience with Gmail, Drive, Microsoft Office a must
- Advanced proficiency in spoken and written English required
- Valid driver’s license and ability to travel to occasional in-person meetings or events

Job Types: Full-time, Fixed term contract
Contract length: 9 months

Pay: $55,000.00-$60,000.00 per year
