About the Role
GD Mortgages is looking for an organized, detail-oriented Licensed Mortgage Document Specialist to support a busy mortgage broker and help move client files from application through funding.
This position is ideal for a licensed Alberta mortgage associate who understands mortgage documentation, enjoys keeping files organized, and communicates confidently with clients, lenders, underwriters, appraisers, lawyers, and other industry partners.
You will play an important role in creating a smooth client experience while ensuring files are complete, accurate, well documented, and progressing on schedule.
Key Responsibilities
- Review mortgage applications for completeness and identify missing information
- Prepare customized document request lists for clients
- Collect, organize, name, and review income, down payment, credit, and property documents
- Follow up with clients professionally regarding outstanding documents and lender conditions
- Identify inconsistencies, missing pages, expired documents, and other potential file issues
- Prepare and package mortgage files for lender submission
- Communicate with lenders and underwriters regarding document requirements and outstanding conditions
- Track financing-condition, closing, document-expiry, and funding deadlines
- Assist with lender commitments and ensure clients understand outstanding requirements
- Coordinate with appraisers, insurers, lawyers, real estate professionals, and other parties when required
- Maintain accurate notes, records, and task updates in the CRM and submission platform
- Protect confidential client information and follow all brokerage policies and regulatory requirements
- Provide regular file-status updates to the mortgage broker
- Help ensure files are complete and ready for funding
Qualifications
- Current Alberta mortgage associate or mortgage broker licence
- Experience processing, fulfilling, underwriting, or administering residential mortgage files
- Strong understanding of common mortgage documents, including employment letters, pay stubs, tax documents, bank statements, down payment verification, purchase contracts, and property documents
- Ability to identify potential concerns within a file and bring them to the mortgage broker’s attention
- Excellent written and verbal communication skills
- Strong attention to detail and ability to manage multiple deadlines
- Comfortable following up with clients and requesting missing or corrected documents
- Strong organizational, problem-solving, and time-management skills
- Comfortable learning and using mortgage submission platforms, CRMs, document portals, and electronic-signature software
- Able to work independently while keeping the mortgage broker informed
Preferred Experience
- Previous experience with a mortgage brokerage, lender, bank, credit union, or mortgage fulfillment team
- Familiarity with lender portals and mortgage submission platforms
- Experience reviewing self-employed, commissioned, hourly, union, variable-income, and rental-income applications
- Knowledge of alternative, insured, conventional, and private mortgage documentation
- Experience managing files from initial application through funding
