The work consists of carrying out, in one or more areas, administrative and operational support activities and various tasks related to general office work.
The work schedule is from 6:45 a.m. to 2:45 p.m., Monday to Friday.
The person selected for this assignment must be able to lift and move loads weighing up to 25 lb on a daily basis.
EXAMPLES OF TASKS PERFORMED
- Prepares, scans and files documents, reports and correspondence;
- Opens, assembles, organizes and maintains physical and electronic files, coordinates their progress and ensures that the files to be processed contain the required documents and information;
- Codes and indexes, using pre-established systems, documents and other data, establishes cross-references, as required, to trace information;
- Ensures accurate data entry into computer systems;
- Answers calls and directs calls to the appropriate people;
- Communicates by telephone or at the counter with the public and municipal services regarding information related to the department's activities; assists internal and external clients in their procedures; provides notices, information on administrative procedures, municipal by-laws, steps to follow, etc.
- Opens and distributes correspondence;
- Validates data;
- Ensures the proper functioning of equipment such as photocopiers and printers in the stamping machine department;
- Uses a variety of devices and systems to perform job-related tasks as required, using appropriate programming;
- Performs various office work such as photocopying, simple calculations, couriers, assembling documents, sending correspondence;
- Performs any other related duties.
SCOPE
The duties of the job usually require the employee to decide on the order of performance and the daily flow of activities. Work is occasionally monitored during performance and checked regularly.
REQUIRED TRAINING AND EXPERIENCE
Education
- Hold a high school diploma.
Experience
- Possess six (6) months to less than one (1) year of experience in a job that allows the incumbent to become familiar with the field of the job.
KNOWLEDGE
- Arithmetic;
- Filing and collection methods;
- General office work;
- Spoken and written French;
- Spoken and written English*;
- Microsoft Office suite.
- Knowledge of English is a requirement due to potential interactions with the Town's citizens.
SKILLS AND ABILITIES
- Perform writing assignments;
- Exercise good judgment, tact and courtesy;
- Demonstrate a solid sense of customer service;
- Operate office equipment.
