Position Overview

Job Title: Materials, Inventory & Logistics Coordinator
Reports To: Project Manager
Location: Toronto (Office & Warehouse)
Employment Type: Full-Time

Role Purpose

The Materials, Inventory & Logistics Coordinator plays a critical role in supporting field operations by ensuring crews have the materials, tools, equipment, and resources required to execute projects efficiently and successfully.

This position is responsible for inventory management, warehouse operations, procurement, logistics coordination, and company asset tracking. Acting as a key link between project management, field teams, and suppliers, the successful candidate will help improve operational efficiency and project execution.

Key Objectives

- Ensure field crews have the materials and equipment they need, when they need them

- Improve inventory visibility, accuracy, and control

- Maintain a highly organized and efficient warehouse

- Reduce project delays related to material shortages or logistics issues

- Improve accountability and tracking of company tools and assets

- Streamline logistics planning and coordination

Core Responsibilities

Inventory Management

- Maintain accurate inventory records and systems

- Monitor stock levels and replenish inventory as needed

- Conduct regular inventory counts and audits

- Track consumables and critical stock items

- Improve overall inventory accuracy and reporting

Materials Coordination

- Source and order project materials





- Coordinate supplier deliveries and lead times

- Track material requirements for upcoming projects

- Collaborate closely with project managers and scheduling teams

- Ensure materials are ready and available prior to project start dates

Warehouse Operations

- Maintain warehouse organization, cleanliness, and efficiency

- Oversee receiving, storage, and material handling procedures

- Implement and maintain inventory location systems

- Continuously improve warehouse processes and workflows

Tools & Asset Management

- Track company tools, equipment, and assets

- Manage tool sign-out and return procedures

- Maintain accurate asset inventories

- Coordinate equipment repairs, servicing, and calibration

- Ensure field crews are properly equipped with required tools and safety equipment, including:

- Combustion analyzers

- Power tools

- Ladders

- Testing equipment

- Safety equipment

Warranty & Returns Management

- Process supplier returns and exchanges

- Coordinate warranty claims

- Manage defective or damaged materials

- Track warranty credits, replacements, and resolutions

Logistics Coordination

- Coordinate movement of materials between warehouse and job sites

- Plan and schedule deliveries and pickups

- Organize scrap removal and disposal activities

- Support day-to-day operational logistics and field requirements

Qualifications & Experience

Required

- Experience with inventory management and control

- Warehouse operations experience

- Procurement and material purchasing experience

- Logistics coordination experience

- Strong organizational and time-management skills

- Exceptional attention to detail

Preferred





- Construction industry experience

- Mechanical, HVAC, plumbing, or hydronic systems experience

- Robust computer and software proficiency

- Experience with Buildertrend or similar construction management software
