The Opportunity
We are seeking a highly organized and detail-oriented Shipping & Receiving Administrator to manage the critical documentation, data integrity, and logistics coordination of our facility. In this role, you will bridge the gap between physical inventory and digital tracking. You will ensure that all inbound and outbound transactions are flawless, compliance standards are met, and internal teams (Production, Purchasing, and Quality) are perfectly aligned. If you excel at problem-solving, ERP management, and keeping operations running smoothly on paper and on the floor, we want you on our team.

Key Responsibilities
Logistics Administration & Documentation
- Shipment Processing: Generate accurate shipping documentation, including Bills of Lading (BOLs), packing lists, custom labels, and carrier instructions.
- Data Integrity: Efficiently log all receiving and shipping transactions into our ERP system to ensure real-time inventory accuracy.
- Financial & Vendor Support: Process all required logistics data for timely month-end closing, submit purchase requisitions for department supplies, and manage orders for shipping materials (lumber, packaging, etc.).
- Claims & Compliance: Investigate and resolve freight claims with carriers. Issue Non-Conformance Reports (NCRs) for damaged or incorrect incoming materials and maintain the tracking system.
Inbound, Outbound & Inventory Control
- Receiving & Inspection: Verify incoming shipments against purchase orders and packing slips, inspecting for quality, damage,
or discrepancies.
- Production Staging: Coordinate and stage materials to seamlessly align with manufacturing schedules and active job orders.
- Inventory Auditing: Participate in routine cycle counts, physical inventory processes, and data reconciliation to eliminate discrepancies.
Communication & Coordination
- Cross-Functional Collaboration: Partner with Production, Quality, and Purchasing to communicate material availability and proactively resolve supply chain bottlenecks.
- Dispatching: Schedule and coordinate local pickups and deliveries directly with our local driver.
- Safety Culture: Maintain a safe, organized workspace, follow all corporate safety protocols, and participate in ongoing safety training.
What You Bring (Qualifications)
Experience & Education
- Background: 1–3 years of experience in shipping, receiving, or logistics administration, preferably within a manufacturing environment.
- Education: High school diploma or equivalent required; post-secondary education or vocational training in supply chain/logistics is a strong asset.
Skills & Certifications
- Systems Literacy: Familiarity with ERP or inventory management systems (e.g., SAP, Oracle, or similar) is essential.
- Software Skills: Proficient in Microsoft Office (Excel, Word) and email management.
- Equipment Ability: Certified to operate forklifts/powered industrial trucks, or fully willing and able to obtain company-sponsored certification.
Physical & Operational Requirements
- Capability: Ability to stand, walk the warehouse floor, and comfortably lift up to 50 lbs when required.
- Flexibility: Adaptable to working flexible shifts based on production and shipping volumes.
Pay: From $24.00 per hour
