Pathfind has partnered with a progressive organization within the hospitality organization to find their next Office Manager. Reporting directly to the VP, Operations & General Manager the successful candidate will be responsible for the financial stewardship, accounting operations, human resource management, and general office management for 3 hotels (2 in Leduc; 1 in Lacombe). The position is located in Leduc and is an in-office position.
What You Will Be Doing:
Office Department Human Resource Management
- Selects, schedules, trains, delegates, and supervises office staff.
- Compiles and processes payroll accurately and on time.
- Conducts performance appraisals and assists in compensation planning.
- Manages labor costs and staffing levels for efficiency.
- Leads monthly staff meetings and ensures clear, consistent communication.
- Oversees compliance with Health & Safety Program requirements.
Accounting Operations
- Prepares and processes bank deposits.
- Manages payroll functions, ensuring timely and accurate processing.
- Processes vendor invoices and ensures timely payments.
- Manages guest and corporate billing, ensuring timely collections.
- Prepares monthly operating statements and financial reports.
- Maintains and optimizes hotel accounting systems.
Financial Reporting & Analysis
- Conducts budget analysis and monitors financial performance.
- Tracks labor costs and recommends efficiency improvements.
- Oversees purchasing processes, ensuring competitive pricing and cost-effectiveness.
Cash Handling & Maintenance
- Manages Video Lottery Terminal and Cash Dispensing Unit funds.
- Department Cash Floats: Oversees cash floats for various hotel departments.
- Maintains ATM machines and Point-of-Sale equipment.
- Implements security protocols for cash handling and financial transactions.
Recruitment & Staffing
- Manages job advertisements and tracks applicants.
- Oversees administrative onboarding of new employees.
- Administers group benefits and RRSP programs.
- Ensures compliance with Alberta Employment Standards.
- Handles Workers’ Compensation Board claims and return-to-work programs.
HR Information Management
- Maintains accurate and confidential HR documentation.
- Ensures compliance with privacy laws and internal confidentiality policies.
- Facilitates effective communication across departments.
Office Supplies & Stationery
- Manages office supply inventory and ordering.
- Ensures cost-effective purchasing of office materials.
Strategic Support & Process Improvement
- Identifies and implements process improvements in office administration.
- Supports leadership in aligning administrative functions with business goals.
- Assists hotel departments by streamlining administrative workflows.
Who You Are:
- Post-secondary education with a focus on accounting and/or finance (Diploma or Certificate)
- Minimum 5 years’ experience in areas of accounting and general office management
- Knowledge and experience in HR Management desirable
- Proficient in all applications of Microsoft office and accounting software
- Analytical with strong written and verbal communication skills
- Ability to multitask and work in a quick-paced environment
- Strong organizational skills and attention to detail is a must
- Possesses strong time management skills
