At Senior Homecare by Angels, we are dedicated to improving the daily quality of life for each of our clients through the highest quality home care services. We are currently looking to fill-up one of our position of a office administrative assistant. This is a full-time position with a possibility of working weekends. Must have at least 5 year of experience working in an Office Administrative Position
- Act as a first point of contact within the office by greeting visitors, answering incoming calls and setting up meeting rooms
- Answers and screens incoming telephone calls; provides information to external and internal requests; directs callers to appropriate staff; takes and relays messages.
- Prepares documents (e.g., correspondence, reports, presentations, agendas, minutes, memos, policies and procedures, etc.) using a variety of software programs (e.g., presentation, word processing, spreadsheet, Alayacare etc.)
- Prepares Services Agreements (based on provincial templates) and facilitates the execution of approved documents between parties.
- Ability to produce high-quality work in accordance with Homecare standards
- Ability to maintain confidentiality
- Ability to confidently speak with clients
- Ability to commute between the two sites offices
- Ability to work well under pressure and use good judgment in assessing difficult situations
- Ability to Connect with clients and promote company services
- Knowledge of medical terminology an asset
- Preparing reports and presentation
- Ensuring invoice payment and office account management
- Coordinate meetings, appointments,
and schedules for members of the team
- Assist in updating weekly schedule
- Providing outstanding customer service to families, staff, and Service providers we serve.
- Update the client's care plane and referrals
- Delegating customer inquiries.
- Performing general office administration functions including accounts payable, payroll duties, data entry and various other administration tasks
- Manage office supplies, kitchen area, and mail and couriers in and out of the office
Required Skills and Capabilities
- Strong comfort with Microsoft Office (Word, Excel, Teams, Social Media some PowerPoint)
- Experience working in a health care environment is an asset.
- Strong organizational, prioritization, and time management skills
- Excellent verbal and written communication
- Effective decision-making abilities
- Very good interpersonal and customer service skills
- Very good verbal and written communication skills
- Comprehensive knowledge of health care, organizational/office practices, procedures, and standards
- Basic accounting/bookkeeping is an asset, but not a requirement
- Other duties as required

Ability to commute/relocate:
- Milton, ON: reliably commute or be willing to relocate with an employer-provided relocation package (preferred)
Education:
- Bachelor's Degree (preferred)
Experience:
- Office Assistant: 3 years (preferred)
