- Morning Pipeline Review: Check the project tracker (e.g., Asana, Trello, Excel) to review active grant applications and deadlines.
- Contractor Assignment: Match new pipeline projects with available grant writers or specialized contractors.
- Daily Flow Check: Follow up on items due today to ensure writers submit drafts on time.
- Document updates: Rename, format, and organize incoming project drafts, PDFs, and client source files.
- Admin Support: Answer urgent operational emails and Slack messages from contractors needing resources.
Weekly & Systematic Roles:
- Repo Architecture: Set up shared folders (Google Drive, Notion, or SharePoint) for every current project.
- Contract Issuance: Generate and send out standard independent contractor agreements and NDAs.
- Invoicing Workflow: Collect weekly/monthly contractor invoices, verify them against completed work, and log them for payout.
- Pipeline Updates:
Present a clean status report of all upcoming, active, and completed grants to leadership.
Ad-Hoc Work (As Needed):
- Onboarding: Create access links and send welcome kits to newly hired freelance writers.
- Template Creation: Build standard briefs or checklist templates to make project handoffs faster.
- Emergency Reassignments: Shift a project to a backup writer if the primary contractor faces a delay.
- PDF Assembly: Package final grant proposals, letters of support, and financial annexes into single, polished PDF files.
