We are seeking a highly motivated and detail-oriented Accounts Payable Specialist to join our accounting team. In this role, you will be responsible for processing vendor invoices, managing disbursement schedules, reconciling accounts, and supporting accurate month-end financial reporting.

Job Responsibilities

o Review, verify, and process incoming invoices in a timely and accurate manner.

o Match purchase orders, receipts, and vendor invoices to ensure proper documentation and approvals.

o Prepare and process check payments according to due dates and company policies.

o Schedule and prioritize payments to take advantage of discounts and avoid late fees.

o Maintain and update vendor records, including contact details, tax information and payment terms.

o Respond to vendor inquiries and resolve any discrepancies or payment issues professionally and efficiently.

o Reconcile accounts payable transactions and vendor statements on a regular basis.

o Assist in monthly and year-end closing processes by providing accurate records and reconciliations.

o Ensure all disbursements comply with internal controls and company financial policies.

o Generate AP reports such as aging reports, payment summaries, and accruals.

o Maintain organized and accurate AP records for audit and tax purposes.





o Coordinate with procurement, receiving, and other departments to resolve invoice and payment issues.

o Support accounting team with projects, audits, and continuous process improvements.

o Utilize accounting software and spreadsheets for AP tasks.

o Identify opportunities for automation and efficiency improvements in the AP process.

o Perform other administrative and reporting functions as maybe required.

Skills and Qualifications:

o Experience with systems such as Sage 300, or similar platforms.

o Strong skills in Excel (pivot tables, Vlookup, formulas), Word, and Outlook.

o Basic understanding of GAAP (Generally Accepted Accounting Principles) and AP procedures.

o Familiarity with Enterprise Resource Planning tools is a plus.

o Ability to identify discrepancies and resolve invoice/payment issues effectively.

o Skilled at managing deadlines and handling multiple tasks in a fast-paced workplace.

o A meticulous approach to financial data and document management.

o Clear and professional interaction with vendors and internal teams via email and trustworthy in handling sensitive financial data.

o Associate’s or Bachelor’s degree in Accounting, Finance, or a related field.

o At least 1 year of accounts payable or general accounting experience.

o Certifications (Optional/Preferred)

Job Types: Full-time, Permanent

Pay: $19.00-$21.00 per hour
