Payroll Assistance
- Review and verify employee time sheets, field tickets, and daily time reports.
- Ensure proper allocation of labour hours to project cost codes.
- Coordinate payroll information with Human Resources regarding new hires, terminations, wage adjustments, and benefits.
Project Administration
- Assist Project Managers with project setup and administration.
- Create and maintain project files and electronic documentation.
- Issue project numbers and purchase orders.
- Maintain project documentation, including contracts, drawings, change orders, RFIs, and correspondence.
- Track project milestones, schedules, and deliverables.
- Coordinate document distribution between clients, field personnel, subcontractors, and suppliers.
- Assist with project close-out documentation.
Job Costing & Project Controls
- Enter labour, equipment, material, subcontractor, and rental costs into project costing systems.
- Review field tickets for accuracy before processing.
- Reconcile project costs against budgets.
- Assist with cost reporting and variance analysis.
- Monitor committed costs and purchase orders.
- Prepare cost summaries and support monthly project reporting.
- Identify discrepancies and work with project managers to resolve them.
Purchasing & Vendor Support
- Prepare purchase orders.
- Track material deliveries and supplier invoices.
- Coordinate with vendors regarding pricing, delivery, and documentation.
- Verify supplier invoices against purchase orders and receiving documents.
- Assist with subcontract administration and documentation.
Field & Operational Support
- Receive and organize daily field reports.
- Monitor outstanding tickets and missing documentation.
- Assist foremen with payroll and project documentation requirements.
- Support operational reporting requirements.
Accounting Support
- Assist with customer billing preparation.
- Review project documentation before invoicing.
- Support accounts payable and accounts receivable functions related to projects.
- Reconcile payroll and labour allocations.
Compliance & Record Management
- Maintain employee payroll records confidentially.
- Ensure compliance with company policies, labour standards, union agreements, and applicable legislation.
- Maintain organized electronic and physical project records.
- Assist with internal and external audits.
Qualifications
- Diploma or certificate in Business Administration, Accounting, Payroll Administration, Project Administration, or related field preferred.
- Payroll Compliance Practitioner (PCP) designation considered an asset.
- 3+ years of payroll and administrative experience, preferably in construction or industrial services.
- Experience with project costing and job cost accounting.
- Knowledge of payroll legislation and employment standards.
- Strong understanding of Microsoft Office Suite, particularly Excel.
- Experience with ERP/accounting software (QuickBooks, Sage, Viewpoint, Acumatica, or similar) considered an asset.
- Excellent organizational and communication skills.
- Ability to prioritize multiple projects and deadlines.
