We are seeking a highly organized and detail-oriented Executive administrator & Bookkeeper to support the day-to-day administrative and financial operations of the organization.

Position Summary

The Executive administrator & Bookkeeper plays a key role in supporting the Executive Director, Director of Finance and Board of Directors. This position combines office administrative support with bookkeeping and financial administration responsibilities.

Key Responsibilities

Bookkeeping & Financial Administration

- Process accounts payable and accounts receivable transactions.
- Prepare bank deposits and reconcile bank and investment accounts.
- Assist in accounts receivable collection
- Maintain accurate financial records using accounting software.
- Assist employee expense reimbursements.
- Prepare monthly financial reports and supporting schedules.
- Support annual audit preparation and year-end processes.
- Assist with budgeting and financial forecasting activities.
- Maintain confidentiality of financial and organizational information.

Executive Administration

- Act as the primary point of contact for office inquiries.
- Coordinate office supplies, equipment, and vendor relationships.
- Provide administrative support to the Executive Director and leadership team.
- Coordinate meetings, schedules and organizational calendars.
- Record and distribute Board and committee meeting minutes.
- Assist with event planning, AGM preparation, and organizational communications.




- Maintain organizational records and filing systems.
- Support policy development, document management, and governance activities.

Qualifications

Required

- Diploma or certificate in Accounting, Business Administration, Office Administration, or a related field.
- Minimum 3 years of experience in bookkeeping, accounting, or administrative support.
- Experience using accounting software (QuickBooks, Sage, or equivalent).
- Proficiency with Microsoft Office 365, particularly Excel, Word, and Outlook.
- Solid organizational and time-management skills.
- Excellent written and verbal communication skills.

Preferred

- Experience working in the non-profit sector.
- Knowledge of Canadian non-profit accounting principles and funding agreements.
- Experience supporting Boards of Directors and governance activities.
