Job Overview
We are seeking a dynamic and experienced Payroll Specialist to join our team in handling multiple divisions. In this vital role you will manage payroll operations, verify data accuracy, and maintain compliance with relevant regulations. The ideal candidate brings strong analytical capabilities, exceptional attention to detail, and the ability to manage confidential information while meeting tight deadlines. The role will be hybrid with some work in-office required.
Duties
- Process bi-weekly payroll accurately and on schedule for hourly and salaried employees, ensuring timely delivery of wages
- Review and validate employee timecards, attendance records, overtime, shift premiums, and other payroll inputs
- Calculate and process vacation pay, statutory holiday pay, bonuses, commissions, retroactive pay, and termination payments
- Administer payroll deductions including taxes, CPP, EI, RRSPs, benefits, garnishments, and union dues where applicable
- Ensure compliance with the Employment Standards Act, Income Tax Act, CRA regulations, and company policies
- Maintain accurate employee payroll records, including new hires, terminations, promotions, wage adjustments, and benefit changes
- Prepare and reconcile payroll reports, remittances, and year-end activities including T4s and Records of Employment (ROEs)
- Respond promptly and professionally to employee payroll questions and resolve discrepancies
- Support payroll audits and maintain confidential payroll documentation
- Collaborate with Human Resources regarding employee status changes, leaves of absence, and benefits administration
- Recommend improvements to payroll processes to increase efficiency and accuracy
Skills
- Strong knowledge of payroll software systems and Microsoft Office Suite
- Excellent attention to detail with high accuracy in data entry and calculations
- Familiarity with applicable labour laws, tax regulations, and compliance standards
- Exceptional organizational skills with the ability to prioritize tasks efficiently
- Effective communication skills to liaise confidently with employees and internal teams
- Ability to maintain confidentiality and handle sensitive information responsibly
Experience
- Minimum of 3 years' experience supporting Canadian payroll processing
- Strong experience with payroll GL reconciliation and finance-related payroll functions
- Experience with payroll systems such as ADP, Ceridian, or Payworks
