Position Overview

The Receptionist & Assistant is the first point of contact for customers at AutoCity Sales, responsible for answering phones, greeting customers, and supporting a range of administrative and licensing functions. This position also serves as a direct assistant to the owner, helping manage the day-to-day organization of the business.

The ideal candidate is passionate about building professional relationships with customers, creating brand and dealership loyalty, and serving as a polished, reliable front face for the business. Strong multi-tasking skills are essential — the ability to answer phones promptly and return to prior tasks without losing focus. This person is organized, dependable, and works well as part of a team, ensuring the right employees are notified when a customer enters the dealership.

Administrative procedures must always be followed appropriately, and professional attire and grooming are required at all times. As a dealership can be a high-pressure setting, the Receptionist must be able to work under pressure while maintaining calm, positive body language that reassures customers.

- Listen to customer needs and take appropriate action.
- Keep detailed records of all interactions with customers.
- Handle all customer queries and concerns with a genuine intent to resolve their problem or issue.
- Team-oriented and enjoys working with others toward a common goal.

Licensing & Administrative Duties

- Process and manage vehicle licensing, registration, and related paperwork accurately and on schedule.
- Ensure all administrative and licensing documentation is completed accurately and in a timely fashion.
- Maintain organized, up-to-date records for licensing and compliance purposes.
- Listen to and document customer needs and expectations.
- Review and analyze daily tasks regularly to determine how to better utilize time and plan more effectively.

Assistant to the Owner

- Serve as the direct front-face representative of the owner's business operation.
- Support day-to-day banking tasks and handle deposits as required.
- Assist with day-to-day organization of the owner's schedule and business priorities.
- Schedule meetings and calls on behalf of the owner.
- Answer and manage the owner's phone calls, screening and directing as appropriate.
- Take on special projects and tasks as assigned by the owner.

- Ability to manage customer complaints and solve difficult or complex problems.
- Holds a valid driver's license.
- Basic computer skills.
- Must be proficient with Excel and other Microsoft Office programs.
- Comfortable handling confidential financial tasks such as banking and deposits.

Education & Experience

- High school diploma (or equivalent), or working towards one.
- Experience in customer service is an asset.
- Experience in reception within a dealership environment is an asset.
- Experience with vehicle licensing or administrative/office support is an asset.
- Adaptable to work evening and weekend shifts as scheduled.

Pay: $19.00-$22.00 per hour
