About the Role
We are seeking a highly organized and proactive Site Administrative Coordinator to support the day-to-day operations at a project site in London, Ontario
This position plays a critical role in coordinating administrative functions, maintaining participant records, supporting staff scheduling, managing operational reporting, coordinating facility services, and ensuring participants have access to the resources they need. The successful candidate will be a strong communicator who can effectively work with staff, community partners, service providers, and government-funded programs.

Please note this is not a traditional office-based administrative position. The current schedule consists of 12-hour day shifts, 7 days per week.
Key Responsibilities
- Manage daily administrative operations and site reporting.
- Maintain participant records and update internal databases.
- Coordinate staff scheduling, data entry, and payroll-related administration.
- Monitor site occupancy, participant arrivals and departures, and required documentation.
- Coordinate maintenance requests and communication with external service providers.
- Manage inventory and ensure supplies remain stocked.
- Prepare reports for leadership and community partners.
- Support participants by connecting them with appropriate community services and resources.
- Ensure all records, tracking systems, and documentation are accurate and up to date.
- Contribute to the smooth day-to-day operation of the site.
Qualifications
Required
- Excellent written and verbal communication skills in English.
- Minimum 2 years of administrative, operations, housing, social services, or related experience.
- Robust organizational and time-management skills.
- Proficiency with Microsoft Office and Google Workspace, particularly Google Sheets and Excel.
- Ability to manage multiple competing priorities while maintaining accuracy.
- Strong attention to detail and problem-solving abilities.

- Experience working in supportive housing, shelters, homelessness services, social services, mental health, addictions, healthcare, or community-based programs.
- Understanding of harm reduction, trauma-informed care, and person-centered service delivery.
- Knowledge of community resources and social service programs.
- Experience with data entry, reporting, and compliance monitoring.
