Project Coordinator – HVAC and Mechanical Systems

Our client is one of Canada’s leaders in the heating, ventilation, and air conditioning sector. They have retained Lock Search Group to uncover a talented professional to join their team. They’re looking to add a Project Coordinator to help support their Burnaby Operation. Our client is looking for a mechanically inclined individual who has a sharp attention to detail and looking to work for an industry leader.

The Project Coordinator will be tasked with coordinating the end-to-end order fulfillment process for residential and commercial HVAC equipment, ensuring accurate order processing, documentation, and on-time delivery. Acting as the primary liaison between customers, contractors, sales, warehouses, and internal departments, this role supports a seamless customer experience by managing order administration, coordinating logistics, maintaining accurate records, resolving order-related issues, and contributing to continuous improvements in operational efficiency and customer service.

Responsibilities:

- Manage the end-to-end processing of HVAC equipment and parts orders, ensuring accuracy and compliance with company procedures.
- Review purchase orders, pricing, documentation, and customer requirements to ensure complete and accurate order execution.
- Maintain accurate customer, order, and product information within ERP and business systems.
- Provide exceptional customer service by responding to inquiries regarding order status, product availability, lead times, and documentation.
- Coordinate with contractors, dealers, sales, warehouses, procurement,



and logistics teams to ensure timely order fulfillment and delivery.
- Prepare, manage, and distribute technical documentation, submittals, equipment schedules, and customer files.
- Monitor open orders, inventory availability, and delivery schedules while proactively communicating delays or supply issues.
- Serve as the primary liaison between customers and internal departments to resolve order-related issues and maintain service excellence.
- Support customer onboarding, account setup, and administrative activities while ensuring documentation accuracy and compliance.
- Contribute to continuous improvement initiatives that enhance customer experience, operational efficiency, and order management processes.

Qualifications:

- 3 years experience from within wholesale distribution HVAC-R sector is highly preferred, but track record of counter sales from Plumbing, or other mechanical disciplines would also be desired.
- Mechanical aptitude is essential as they hope you can read and interpret mechanical drawings
- Strong attention to detail
- Strong communication skills as primary communication done over email & phone to customers & suppliers
- Some experience dealing with ERP would be helpful
- The ability to prepare and present recommendations, or alternatives, to customers to solve challenges




- Promote and maintain personalized proactive service for all internal and external customers
- Experience with Microsoft Office Suite; Outlook, Word, Excel , SAGE (not necessary but would be advantageous)

Compensation & Benefits:

- Starting Salary 67,000K – 70,000K
- Annual Bonus & Fiscal Year end Bonus (Bonus x 2)

Pay: $75,000.00-$85,000.00 per year
