POSITION SUMMARY

We are looking for individuals with compassion and empathy, who have high levels of organization. Our Part-Time Family Services Coordinators work within the family experience, providing frontline support all the way from the initial hospital referral, supporting the family experience during their stay, and helping families prepare to return home. Working alongside families during this journey in a 24-hour setting may involve creating magic moments to ensure food safety protocols are followed. We are there to seek help with a leaky faucet, listen to how a day has gone with a late-night tea, or take the time to ensure the accuracy of our database and statistics.

The successful candidate will thrive in an environment that balances precious, heartfelt, mission-centered work with high levels of organization, accountability and process management to ensure order and calm in our programs.

Position Type: This is a part-time position

Artificial Intelligence: AI-supported tools may be used in parts of the selection process to help evaluate applications, however, our HR system itself does not include any AI functionality. All hiring decisions are made by people.

Compensation:

To ensure fair and equitable pay, placement within the wage range will be based on your experience, skills, and qualifications relevant to the role. Hiring wage range: $22.00 - $24.00 per hour

Benefits include 3 paid sick days, 1 wellness day, and access to the Employee Assistance Program.

KEY RESPONSIBILITIE

Operational Excellence:

- Assist and support guest families staying at or visiting RMH and/or utilizing the RMH Family Room.
- Take application calls and referrals, confirming guests, and checking in/ checking out of
- all guests.
- Facilitate access through waitlist management, room turnover, communication, and coordination of resources.

- Input and maintain accurate information into GRMHIS database or approved systems to facilitate accurate data capture and maximize team communication.
- Coordinate activities/programs to enhance the quality of the family experience, including rounds with the Cart With a Heart out of the RMH Family Room when applicable.
- Assess priorities of room requests when the House and/or Family Room is running at full capacity.
- Stay informed about families and their medical and/or emotional situations, remaining sensitive to and providing for their needs during critical and difficult periods.




- Identify high-risk situations and refer to the outlined risk management model to monitor and manage possible situations.
- Keep informed about community resources available to guest families.
- Collect and process room accommodation payments, Gift in Kind and financial donations.
- Retrieve, receive and/or process items outlined on a daily inventory list destined for the Family Room, ensuring equal access to nutrition for local families (London site only).
- Ensure adherence to RMH Policies by registered guests and/or their approved visitors.
- Complete daily walk-throughs of the program sites to ensure the program spaces' neat and professional appearance.
- Utilize a digital maintenance reporting system to report any facility concern requiring repair work.
- Participate in ensuring the safety and security of the House and Family Room.
- Assist with other department activities as time permits or duties are assigned.
- Act as Hospital liaison.Volunteer Engagement, Program Support and Donor Stewardship:

- Assign tasks to volunteers as needed.
- Support with donor tours or stewardship as required.
- Ensure that Daily Report Log is up-to-date and accurate.
- Ensure volunteer time is utilized effectively.
- Provide feedback to the House Volunteer Coordinator with respect to scheduling changes.
- Value, respect and recognize the contributions of volunteers.

QUALIFICATIONS / KNOWLEDGE REQUIRED

Education & Experience:

- Completion of high school and a related post-secondary program; or currently progressing in a related post-secondary program or equivalent life experience
- Minimum of 2 years of independent program experience working with children and/or families.
- Minimum 1 years’ experience with spreadsheets and/or database management.

Skills & Qualifications

- Strong written and verbal communication skills.




- The ability to assess each family’s needs and be able to respond appropriately.
- Quality-focused with keen attention to detail to ensure the integrity of data and service provision.
- Strong understanding and adherence to the principles of confidentiality.
- Ability to respond appropriately to all potential outcomes of a child’s illness or injury.
- Adaptable and resilient with the capacity to manage diverse workloads, multitask and prioritize appropriately.
- Mission focused on ensuring a positive experience for all families during their stay at the House.
- Ability to lift weights of 10 to 30 lbs.

Other Requirements

- Clear Vulnerable Sector Screening Police Check (to be provided before the start date).
- Proof of Vaccinations, including a clear two-step TB test and vaccination against COVID-19 (to be provided before the start date).

Hours of Work:

This position is part of a rotation scheduled every other weekend (Saturday, Sunday, & Monday), rotating between days (7:00am – 3:30pm) and afternoons (3:00pm – 11:30pm) and rotating holidays.

Travel: Travel is not required of this role.
