We are currently seeking a highly organized and detail-oriented Administrative Assistant to join our team. The successful candidate will play a key role in supporting the daily operations of the office, ensuring administrative processes run smoothly, and serving as a valuable resource to management and support staff.

Key Responsibilities:

- Assist in maintaining a professional, organized, and functional office environment, including setting up office spaces/workstations, monitoring office and common area upkeep, and addressing maintenance concerns.
- Coordinate building facilities, maintenance requests, and office-related issues, including liaising with building management, contractors, and external service providers as required.
- Support the firm’s file management, including but not limited to file opening, file closing and records management.
- Maintain and monitor the firm's limitations system, including: Tracking key dates, limitation periods, and deadlines, updating records and generating reminders and assisting in ensuring compliance with applicable limitation periods and court deadlines.
- Provide daily backup reception coverage, including: answering incoming calls, taking and forwarding messages, redirecting calls to the appropriate individual, greeting clients and visitors and responding to general inquiries.
- Perform other duties as assigned.

Qualifications:

- Certificate or diploma in Office Administration, Business Administration, or a related field is considered an asset.
- Minimum 1-2 years of administrative experience in a professional office environment.
- Previous law firm experience is considered a strong asset.
- Strong organizational and time-management skills with the ability to manage multiple priorities.
- Exceptional attention to detail and accuracy.
- Strong verbal and written communication skills.
- Proficiency with Microsoft Office Suite, including Outlook,



Word, Excel, and Teams.
- Ability to work independently while maintaining a collaborative team-oriented approach.
- Strong problem-solving and customer service skills.
- Professional, reliable, and committed to maintaining confidentiality.
