Salary: $45,000 to $55,000 per year, based on experience and qualifications
About the Firm
Vago Law Professional Corporation is a small, busy law firm with two lawyers. Our practice focuses mainly on immigration and refugee law, with some work in other legal areas.
Our office is located on Toronto’s waterfront, directly across from Sugar Beach. The building includes a rooftop area with water views and offers a pleasant, skilled working environment.
We work closely as a team and assist clients facing a wide range of legal and personal circumstances. We are looking for a capable, personable, and motivated individual who wants to learn, take responsibility, and become an important part of the firm.
The Position
The Legal Receptionist and Administrative Assistant will support both lawyers and assist with the firm’s daily administrative, client-service, and file-management needs.
This is not a passive reception position. The successful candidate will answer calls, communicate with clients, manage competing priorities, learn legal and office systems, and help prepare immigration and refugee application packages and other legal document packages.
The role has a steep learning curve. We are looking for someone who learns quickly, takes initiative, thinks through problems, and looks for answers instead of waiting to be told every step.
The successful candidate will work closely with the lawyers and will receive greater responsibility and independence as their knowledge and abilities grow.
Key Responsibilities
Answer and direct incoming telephone calls in a friendly, professional, and sensitive manner.
Welcome clients and assist with general reception and client-service duties.
Communicate with clients from different backgrounds and with different legal and personal circumstances.
Support two lawyers with administrative and file-management tasks.
Open, organize, maintain, and update physical and electronic client files.
Accurately enter and review client information, dates, deadlines, and documents.
Schedule appointments, meetings, interviews, and other firm commitments.
Learn and work with the firm’s legal, document-management, communication, and administrative systems.
Prepare, organize, review, and assemble immigration and refugee application packages.
Assist with document packages and administrative work in other areas of law when required.
Follow up with clients regarding documents, appointments,
information, and outstanding requirements.
Monitor assigned tasks and follow them through to completion.
Manage interruptions, changing priorities, and several active responsibilities at the same time.
Identify missing information, errors, or potential issues and bring them to the attention of the appropriate lawyer.
Assist with improving administrative systems, templates, checklists, and office procedures.
Maintain strict confidentiality and handle sensitive information with care.

Ability to deal professionally and respectfully with clients who may be anxious, frustrated, or experiencing difficult circumstances.
Previous administrative, reception, legal, or professional-office experience is preferred.
Previous law-firm experience is an asset.
Experience with immigration or refugee matters is an asset.
Experience preparing legal, government, immigration, or other formal application packages is an asset.
Multilingual ability, especially Spanish or Arabic, is an asset but is not required.
