Position Summary

This role supports daily office operations, including processing documentation, organizing records, and maintaining accurate data in company systems. The Administrative Associate will handle invoicing and other transactions, assist with basic financial tasks, and coordinate with internal teams to ensure smooth administrative workflows. The role requires consistent communication with internal teams and external partners, timely completion of administrative processes, and proactive problem-solving to support overall business efficiency.

Key Responsibilities

- Review documentation and enter sales, purchase, and inventory transactions into our ERP system.
- Maintain accurate, organized records for all transactions, including saving and archiving paperwork in our internal filing systems.
- Manage personal and shared inboxes according to established team processes.
- Communicate with external stakeholders, including customers, suppliers, reloads, and logistics partners, with professionalism and a focus on service excellence.
- Support cross-functional teams, including finance (accounts payable and receivable), logistics, and sales, to ensure smooth communication and timely execution on all customer and supplier requirements.




- Manage competing priorities in a fast-paced environment while keeping records precise and current.
- Participate in cross-training with the administrative team to ensure seamless coverage during time off and peak periods.
- Identify opportunities to streamline processes and improve operational efficiency.

Qualifications

- Experience in office administration, bookkeeping, or sales support is preferred; experience in the lumber or building materials industry is a robust asset.
- Excellent written and verbal communication skills, with a focus on professionalism, responsiveness, and relationship building.
- Strong organizational skills and attention to detail, with the ability to work independently, manage time effectively, and stay on top of multiple priorities.
- Comfortable identifying problems, evaluating options, and implementing practical solutions.
- Proficient in Microsoft Office (Excel, Outlook, Word); experience with ERP or inventory software is an asset.
- High school diploma required.
