Job Overview
We are looking for a skilled, driven, and orderly Receptionist/Administrative Assistant to become part of our team. In this position, you will serve as the initial contact for our clients and visitors, delivering outstanding customer service while handling a range of administrative duties. The perfect applicant will have excellent communication abilities, a personable attitude, and the capability to efficiently handle multiple tasks in a busy setting.
15-20 hours per week (no holidays)
Weekdays Monday- Friday
Weekends as needed (Saturday)
Exact hours are subject to minimal adjustment and will be mutually agreed upon by the clinic and our new team member.

1. Administrative & Organizational Skills
- Acts as a liaison between the client and the Physiotherapist
- Scheduling appointments efficiently, managing cancellations and rescheduling.
- Handling patient intake forms and ensuring proper documentation.
- Processing payments, insurance claims, and direct billing (e.g., Telus Health, Blue Cross, Medavie).
- Knowledge in AHS submission report
- Knowledge of MVA insurance procedures is a huge asset
- Maintaining accurate patient records, ensuring compliance with privacy regulations.
- Managing emails, faxes, and clinic correspondence.
2. Customer Service & Communication
- Greeting and assisting patients in a friendly, professional manner.
- Answering phone calls and responding to inquiries about appointments, billing, and services.
- Explaining clinic policies, procedures, and insurance billing to patients.
- Handling complaints and difficult situations with empathy and professionalism.
3. Insurance & Billing Knowledge
- Understanding direct billing processes for insurers (AHS, Blue Cross, Sun Life, etc.).
- Submitting and tracking insurance claims.
- Reconciling payments received with billing records.
4. Technical Skills
- Proficiency in clinic management software (Jane).
- Basic knowledge of Microsoft Office (Excel, Word, Outlook).
- Comfort with online portals for insurance submissions.
5. Duties, Multitasking & Problem-Solving
- Handling multiple tasks at once (phones, patient check-ins, billing issues).
- Addressing last-minute schedule changes and adjusting accordingly.
- Resolving issues related to insurance, billing discrepancies, or patient concerns.
- Maintain cleanliness of rooms, waiting area, and break room, including laundry, stocking rooms, checking inventory, and emptying trash
6. Basic Medical Knowledge & Confidentiality
- Understanding physiotherapy terminology and treatment types.
- Familiarity with common injuries and treatments to answer basic patient questions.
- Adhering to patient confidentiality laws and privacy regulations.
Experience
- Previous Physiotherapy Clinic experience in a front desk or administrative role is preferred.
- Direct-billing insurance: 1 year (preferred)
- Jane App Software: 1 year (preferred)
- Must be able to work independently and as part of a team with a positive attitude in a fast-paced environment.
- Solid organizational skills with attention to detail and accuracy in work.
- Excellent verbal and written communication skills to interact effectively with clients and team members.
- Flexible and adaptable to change
