Job Overview
We are seeking a conscientious, detail-oriented and organized Administrative Assistant to support our office operations. The ideal candidate will have strong clerical and customer service skills, specifically a high emotional quotient, proficiency in office software, and the ability to manage multiple tasks efficiently. This role involves providing essential administrative support, ensuring smooth daily operations, and maintaining a qualified and caring front desk presence. Prior experience in medical or dental office settings is a plus, along with familiarity with QuickBooks, Jane App, and website navigation.

Responsibilities

- Manage front desk duties including receiving client calls, and answering the phone with professional, confidential, and confident phone etiquette
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize Microsoft Office and Google Workspace for correspondence, reports, and scheduling
- Handle appointment scheduling and coordinate meetings or events as needed
- Support bookkeeping tasks using QuickBooks or similar accounting software
- Assist with patient or client support by addressing inquiries and providing excellent customer service, as well as understanding counselling culture.
- Maintain organized records, manage incoming and outgoing correspondence, and ensure confidentiality of sensitive information
- Support administrative projects such as preparing reports, managing calendars, and updating databases

Experience





- Previous clerical or administrative experience preferred, ideally within a medical or dental office setting
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Jane App, and Google Workspace applications
- Experience with QuickBooks or similar bookkeeping software is desirable
- Strong computer skills including data entry, proofreading, and document management
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Demonstrated customer service skills with skilled phone etiquette and support experience
- Familiarity with front desk operations, multi-line phone systems, filing systems, and general office procedures
- Prior experience in medical or dental offices such as dental receptionist or medical office assistant roles is advantageous

Pay: $23.00-$25.00 per hour
