We are seeking a proactive and detail-oriented Administrator / Property Management Assistant to join our dynamic team. This position provides administrative support to the Property Manager and Head Office while helping ensure the efficient day-to-day operation of our residential and commercial portfolio.
Responsibilities
- Manage property-related data entry, filing, and record-keeping using a property management software and other tools
- Assist with new leasing processes including scheduling viewings, preparing lease documents, and following up with prospective tenants
- Track and assist lease renwal including scheduling suite inspection, preparing Lease Renwal documents, and following up with completion of procedule.
- Support property maintenance coordination through data entry into Computerized Maintenance Management platforms and tracking work orders
- Handle incoming inquiries via phone and email with professional phone etiquette, providing excellent customer service to tenants, vendors, and clients
- Upload documents in the company's property management software. Maintain accurate tenant files, lease agreements, and correspondence to ensure compliance and easy retrieval of information
- Coordinate with vendors and contractors for repairs or inspections while ensuring timely completion of tasks. uploading and maintain inspection records in management software
Requirements
- Proven experience with office administration or administrative support roles in a property management environment
- Familiar with property management software, particularly Buildium is highly desirable. Willingness to learn new systems quickly
- Strong organizational skills with attention to detail for data entry, filing, and record maintenance
- Excellent customer service skills combined with professional phone etiquette
- Ability to handle multiple tasks efficiently in a fast-paced setting while maintaining accuracy
- Basic knowledge of the Alberta Residential Tenancies Act (RTA) and the Minimum Housing and Health Standards (MHHS)
- Knowledgeable in RTDRS Rules of Practice and Procedure, including application filing, document service, hearing preparation, evidence submission, and enforcement of RTDRS orders.
