Position Overview

We are seeking a high-energy, performance-driven Clinic Operations Manager & Marketing Lead to oversee daily clinic operations and proactively drive business growth. In this dual-focus leadership role, you will optimize frontline workflows, keep tight control of the billing ecosystem, manage staff, and take direct accountability for increasing clinic utilization and profitability.The ideal candidate brings a background in multidisciplinary clinic operations paired with a strong focus on revenue generation, proactive patient retention, and community outreach.Key ResponsibilitiesRevenue Generation & Growth

- Clinic Utilization: Maximize practitioner schedules by auditing fill rates, reducing gaps, and optimizing the rebooking pipeline.
- Patient Retention: Track patient care plans closely to minimize drop-off rates and ensure clients complete their prescribed treatments.
- Cross-Referral Metrics: Educate front-desk staff to identify cross-referral opportunities across our service lines (e.g., matching a physio patient with pelvic health or massage therapy).
- Retail Expansion:



Set sales targets and drive the promotion of therapeutic products, custom orthotics, and clinical retail items.
- Lead Conversion: Oversee the intake pipeline to convert incoming inquiries, website leads, and phone calls into booked initial assessments.

Clinic Operations & Team Leadership

- Client Experience: Ensure top-tier, high-value client interactions; efficiently manage bookings, check-ins, check-outs, and exit pipelines.
- Financial Oversight: Manage daily payment reconciliations, handle accounts receivables, and aggressively track billing, invoicing, and collections.
- Reporting & Support: Support the Clinic Director directly by analyzing weekly clinic statistics, tracking key performance indicators (KPIs), and compiling operational metrics.
- Team Supervision: Train, mentor, and hold the client experience team accountable to booking scripts, service targets, and customer service standards.

Marketing & Corporate Partnerships

- B2B Outreach: Build strategic relationships, corporate wellness partnerships, and local business alliances within the Barrie community to drive external referral networks.
- Events & Promotions: Design, coordinate, and execute profit-driven clinic promotions, health workshops, and localized marketing campaigns.

Qualifications & Skill Requirements

- Sales & Service DNA:



Proven experience in a revenue-driven or goal-oriented environment (such as fitness sales, membership enrollment, hospitality booking management, or high-volume retail management).
- Clinical Background: Minimum 2 years of experience working in an administrative assistant, receptionist, or coordinator role within a multidisciplinary or physiotherapy clinic setting.
- Software Mastery: Hands-on proficiency with Clinicmaster (or very similar clinical EMR platforms like Jane App), Microsoft Office, and Google Workspace tools.
- Financial Literacy: Competent with medical billing ecosystems (Telus Health, extended health portals), accounts receivable recovery, collections, and processing payments.
- Core Competencies: Clear metric-driven mindset, top-tier multitasking, excellent organization, strict attention to detail, and a process-oriented leadership style.
- Communication: Exceptional command of the English language with a highly polished, persuasive, and professional telephone and in-person demeanor.
- Schedule: Complete flexibility required for a rotating schedule including mornings (starting at 8:00 AM), evenings (until 8:00 PM), and Saturdays.
