Human Resources AdministratorLocation: Feversham & Heathcote, Ontario

Employment Type: Part-Time or Full time (Flexible for the right candidate)

Reports To: Executive Director

Salary: $27.00-$31.00 per hour (commensurate with experience)

Start Date: September 2026 (or sooner)

Position SummaryThe Human Resources Administrator will oversee the day-to-day HR functions across all school locations. This role is responsible for supporting the employee lifecycle-from recruitment and onboarding to employee relations, performance management, compliance, and HR administration.

We're looking for someone who is organized, proactive, approachable, and excited to help create an exceptional employee experience for our educators and support staff.

Key Responsibilities

Recruitment & Onboarding

- Lead the full recruitment process, including job postings, resume screening, interview scheduling, and reference checks
- Coordinate hiring with leadership and hiring managers
- Prepare employment agreements and onboarding documentation
- Ensure all required certifications and documentation (e.g., First Aid/CPR, Vulnerable Sector Checks) are completed before employment
- Facilitate onboarding and orientation to ensure new employees feel welcomed and supported

Employee Relations & Staff Support

- Serve as the first point of contact for employee questions regarding HR policies, procedures, and workplace matters
- Foster a positive, respectful, and inclusive workplace culture
- Support employee engagement and staff well-being initiatives
- Assist leadership with conflict resolution, performance concerns,



coaching conversations, and workplace investigations when required

Performance Management

- Coordinate probationary and annual performance reviews
- Gather and consolidate feedback from supervisors
- Facilitate performance review meetings
- Support leaders in delivering constructive feedback and performance improvement plans
- Help develop strategies for employee growth and professional development

HR Compliance & Policy Management

- Ensure compliance with Ontario employment legislation and applicable childcare regulations
- Maintain and update HR policies, procedures, and employee handbook
- Monitor mandatory certifications, training requirements, and employment documentation
- Support organizational compliance and best HR practices

HR Administration

- Maintain accurate and confidential employee records
- Prepare employment letters, contracts, and HR documentation
- Track vacation, sick leave, and other employee leaves
- Coordinate payroll changes and communicate updates with the bookkeeper
- Maintain HR files and documentation in accordance with privacy legislation

Organizational Communication & Leadership Support

- Act as a liaison between employees and leadership
- Participate in leadership meetings and provide HR guidance and recommendations
- Support organizational initiatives and change management efforts
- Assist with internal communications and staff announcements

Employee Recognition & Culture

- Track employee birthdays, probation completion dates, and work anniversaries
- Coordinate employee recognition initiatives and appreciation events
- Assist with welcoming recent employees and celebrating milestones




- Coordinate appreciation gifts for student placements and staff recognition

Student Placement Coordination

- Coordinate student placement opportunities and schedules
- Act as the primary contact for colleges and universities when required
- Ensure student documentation and onboarding requirements are completed
- Support supervisors throughout placement periods

Additional Projects

From time to time, you'll also support special HR and organizational initiatives, including:

- Coordinating annual Canada Summer Jobs applications
- Assisting with HR projects and process improvements
- Supporting organizational growth initiatives
- Other HR and administrative duties as assigned

QualificationsWe're looking for someone who has:

- Post-secondary education in Human Resources, Business Administration, or a related field
- Previous experience in Human Resources or Human Resources Administration
- Strong knowledge of Ontario Employment Standards (ESA)
- Knowledge of childcare regulations is considered an asset
- Excellent interpersonal, communication, and conflict-resolution skills
- Strong organizational skills with exceptional attention to detail
- Ability to manage multiple priorities and adapt to changing needs
- Experience using Google Workspace (Docs, Sheets, Drive, Calendar) is considered an asset
- Experience with HRIS, scheduling, or payroll systems is considered an asset
- A valid driver's licence and reliable transportation to travel between both school locations
