Human Resources Administrator The Role:

We are seeking a highly organized and proactive HR Administrator to join our growing Human Resources team. Supporting a group of companies within the industrial machinery manufacturing sector, this role is responsible for the day-to-day administration of HR operations, ensuring employees receive a seamless experience throughout the employee lifecycle.

Key Responsibilities:

Recruitment & Talent Acquisition

- Coordinate full-cycle recruitment administration across multiple business units.
- Post job advertisements and manage applicant tracking systems.
- Screen resumes and coordinate interviews with hiring managers.
- Schedule interviews and maintain communication with candidates.
- Conduct reference checks and prepare offer letters.
- Coordinate background checks, pre-employment testing, and onboarding documentation.

Onboarding & Employee Lifecycle
- Coordinate new hire onboarding, orientations, and documentation.
- Prepare employment agreements, new hire packages, and policy acknowledgements.
- Process employee changes including promotions, transfers, salary changes, and terminations.
- Maintain employee records throughout the employment lifecycle.
- Coordinate exit documentation and offboarding activities.

HR Administration
- Maintain accurate employee files and HRIS records.
- Generate employment verification letters and HR documentation.
- Track probationary periods, contract renewals, and employee milestones.




- Ensure all employee records remain current and compliant.
- Maintain organizational charts and employee directories.

Compliance & HR Operations
- Maintain confidentiality of employee information.
- Ensure compliance with employment legislation and internal policies.
- Track mandatory training, certifications, and compliance requirements.
- Assist with HR reporting, audits, and document retention.
- Support continuous improvement of HR processes and procedures.

Employee Support
- Serve as a first point of contact for employee HR inquiries.
- Provide administrative support to HR initiatives and projects.
- Assist with employee engagement activities, recognition programs, and company events.
- Foster a positive, qualified, and service-oriented employee experience.

Requirements:

- 2–5 years of Human Resources administration experience.
- Diploma or Bachelor’s degree in Human Resources, Business Administration, or a related field.
- Experience supporting multiple departments or business units is considered an asset.
- Experience within manufacturing, industrial, construction, engineering, or other blue-collar environments is preferred.
- Additional experience with health & safety, safety admin and compliance is an asset.
- Exceptional organizational and time management skills.
- Strong attention to detail with a high level of accuracy.
- Excellent written and verbal communication skills.
- Initiative, accountability, and a proactive approach to problem-solving.
- Comfort working in a fast-paced, evolving environment supporting multiple companies.
- Professionalism, discretion, and the ability to handle confidential information.
- A collaborative, team-first approach with a willingness to support wherever needed.
- Experience with MS Office, Applicant Tracking Systems (ATS) and HRIS platforms (Dayforce, UKG, ADP Workforce Now, BambooHR, Workday, or similar).
