Position Overview
We are a growing wholesale distribution company seeking an experienced and highly organized Inventory & Distribution Administrator – ERP Systems.
This role is responsible for maintaining accurate inventory records, monitoring open orders, preventing inventory shortages, and ensuring customer and vendor delivery deadlines are not missed.
The successful candidate must be proactive, detail-oriented, and comfortable communicating clearly with customers, vendors, warehouse staff, and internal departments regarding delays, shortages, and upcoming issues.
Key Responsibilities
- Monitor inventory levels and identify potential shortages before they affect orders.
- Maintain accurate inventory, sales order, purchase order, and delivery information in the ERP system.
- Track open customer and vendor orders through completion.
- Ensure delivery dates, shipping deadlines, and customer commitments are actively monitored.
- Follow up with vendors regarding late purchase orders, backorders, and supply issues.
- Communicate promptly with customers regarding delays, shortages, or changes to expected delivery dates.
- Coordinate with warehouse, purchasing, logistics, customer service, and sales teams.
- Process inventory transfers, adjustments, returns, damages, and receiving documentation.
- Investigate inventory discrepancies and follow issues through to resolution.
- Maintain accurate and organized records for all inventory and distribution activities.
- Escalate risks that may affect inventory availability or delivery performance.
Qualifications
- Experience working with inventory-related ERP systems.
- Experience in wholesale distribution, inventory control, logistics, or order administration.
- Robust understanding of purchase orders, sales orders, receiving, shipping, and inventory movements.
- Excellent organization, follow-up, and communication skills.
- Strong attention to detail and ability to manage multiple deadlines.
- Comfortable investigating discrepancies and resolving problems.
- Proficient with Microsoft Excel and general office systems.
- Able to work independently and remain accountable for open items.
Performance Expectations Success in this role means:
- Inventory shortages are identified and addressed early.
- Open orders are actively monitored.
- Delivery deadlines are not missed without advance escalation.
- Customers and vendors receive clear and timely communication.
- ERP records remain accurate and current.
- Inventory and delivery issues are followed through until resolved.
Pay: $55,000.00-$60,000.00 per year
