Reporting to the Program Manager, Special Voting Opportunities, the Mail Ballot Office Supervisor will be responsible for managing the day-to-day operations of the Mail Ballot Office/Call Centre.

Examples of key responsibilities include, but are not limited to:

- Manage the day-to-day operations of the Mail Ballot Office/Call Centre

- Assess requirements for Call Centre staff and schedule staff accordingly

- Assist Call Centre staff and respond to their questions

- Assess requirements for staff that will be tasked to assemble MB packages

- Provide direction and oversee MB package assembly staff

- Monitor the supply of MB package items to ensure they are adequate and replenish items accordingly

- Work with the IT Mail Room re: daily processing of MB packages

- Receive ballots from the Elections Office and reconcile the daily ballot count

- Review and print the labels for MB packages

- Communicate with electors as necessary on MB matters

- Coordinate with IT on any IT-related issues/requirements in the MB Office/Call Centre

- Pick up the mail ballots dropped off by electors in the drop-off bin at City Hall

- Organize the mail ballot package pick-up schedule including the contacting of electors as required

- Assist in the preparation of training material for Mail Ballot Office/Call Centre staff

- Serve as an Approver of Mail Ballot applications as needed





- Assist with the Mail Ballot adjudication and mail ballot tabulation processes

- Other tasks that may be assigned by the Chief Election Officer or Program Manager, Special Voting Opportunities

Knowledge, Skills & Abilities:

- Ability to perform duties with a high degree of accuracy.

- Ability to perform multiple tasks simultaneously, work well under pressure, and deal with stressful situations with professionalism.

- Ability to manage priorities and deadlines with the ability to adapt and change priorities quickly with ease.

- Strong organizational ability with solid interpersonal and customer service skills.

- Ability to communicate effectively with internal and external customers.

- Ability to work independently and as part of a team.

- Ability to lead a team.

- Ability to have a high degree of flexibility, remain calm, and to meet tight deadlines under pressure.

- Ability to successfully pass a Police Information Check.

Qualifications and Experience:

- Completion of a Diploma from a post-secondary institution

- Minimum of three (3) years job-related experience including supervisory experience

- Experience working in a call centre would be considered an asset

- Elections experience would be considered an asset.

- Municipal government experience would be considered an asset
- An equivalent combination of training and experience may be considered.
