Medical Office Assistant (MOA)

Location: 201- 101 West 16th St. North Vancouver, B.C. Canada V7M 1T3

Job Type: Full-time

Start Date: September 2026 - exact start date to be determined collaboratively

Seeking a friendly, organized, and compassionate Medical Office Assistant (MOA) to join a busy longitudinal family practice. This position is based in a multi-physician family practice, where you will work exclusively with one family physician as their dedicated Medical Office Assistant, providing administrative support and contributing to the delivery of high-quality, patient-centred care.

We are looking for someone who is reliable, professional, eager to learn, and committed to providing exceptional patient service. The ideal candidate has excellent communication and interpersonal skills, is proactive and detail-oriented, works well independently, and is able to prioritize and manage multiple responsibilities in a fast-paced environment.

Although you will work closely with one physician, you will also be part of a collaborative and supportive team of experienced MOAs, many of whom have been with the clinic for more than 20 years.

Responsibilities

- Serve as the primary point of contact for patients, providing a welcoming, professional, and compassionate experience in person, by phone, and electronically.
- Greet and room patients
- Coordinate the physician's schedule by booking, modifying, and confirming appointments using the Plexia EMR.
- Answer incoming telephone calls, respond to routine inquiries, triage messages appropriately,



and communicate information accurately to the physician.
- Register new patients and maintain accurate patient demographics, contact information, and health records within the electronic medical record.
- Receive, scan, and file incoming reports and correspondence within the EMR in a timely and organized manner.
- Support coordinating referrals, diagnostic testing (e.g. radiology/lab bookings), follow-up appointments, and specialist communications as directed by the physician
- Safeguard patient privacy by maintaining strict confidentiality and adhering to all applicable privacy legislation and clinic policies.
- Maintain an organized and efficient office environment by managing administrative tasks such as filing, faxing, photocopying, inventory management, and possibly ordering office supplies.
- Collaborate closely with the physician to support the efficient operation of a busy longitudinal family practice and help ensure continuity of patient care.

Clinical Support

- Take accurate patient measurements for adults and children.
- Perform blood pressure checks, urinalysis, and urine pregnancy testing.
- Prepare vaccines, procedure trays (PAPs, IUD insertion/removal, biopsies, sutures), and document accurately.




- Package and send lab specimens.
- Conduct autoclaving/sterilization of medical instruments.

Qualifications & Experience

- Previous experience as a MOA is strongly preferred.
- MOA program completion preferred
- Plexia EMR experience is an asset, although not necessary
- Knowledge of basic medical terminology and basic medical office procedures is strongly preferred
- Strong organizational skills with exceptional attention to detail and accuracy.
- Ability to prioritize tasks and manage competing demands in a fast-paced clinical environment.
- Professional, compassionate, and patient-focused communication skills.
- Comfortable working both independently and collaboratively with the physician.
- Proficiency with Microsoft Office, standard office equipment, and strong computer skills

Compensation & Benefits Starting wage: $25-28/hour, depending on experience level

Perks: To be discussed

Vacation: 2 weeks paid

Work Schedule: Hours will be between Monday to Friday 8:00am-5:00pm, excluding statutory holidays. Goal of 30-35 hours per week for this position, exact hours TBD.

Work Location: Majority in office. Option to do some remote work from home if preferred (on days physician is not in clinic). A private space to work in from home would be required for remote work.
