Position Overview
Reporting to the Manager of Project Management Office and Operations, our client is seeking a Procurement Specialist in Calgary, Alberta with 5+ years of practical experience in direct supply chain management. The ideal candidate will bring practical knowledge of a project support procurement process in a highly technical industry and its application to an agile growth company. This is a full-time employment prospect, with the option for a contractor-based position if preferred.
Key Responsibilities
Compliance and Documentation
- Ensure compliance with the organization’s existing procurement process and provide actionable recommendations for improvement if deemed necessary.
- Employ lean and effective procurement systems.
- Maintain accurate records of purchases, contracts and supplier communications.
Planning
- Collaborate with the engineering team to understand purchasing requirements for active projects.
- Central point of contact for project material needs.Forecast demand for materials and create effective procurement plans.
- Monitor project materials inventory levels to prevent overstocking or shortages.
- Research and identify reliable suppliers to meet the project materials needs.
- Evaluate supplier performance based on quality, cost, and delivery reliability.
- Negotiate contracts and pricing to secure favorable terms.
- Maintain accurate database of suppliers.
Cost Control and Analysis
- Coordinate with engineering team to lead the bid process and organize bid evaluations.
- Analyze market trends to identify cost-savings opportunities.
- Compare quotes from multiple suppliers to ensure competitive pricing.
- Optimize purchasing budgets to align with project budget and schedule.
Order and Delivery Management
- Issue purchase orders and track the progress of deliveries.
- Support account management coordinating invoices, payments and expense capture in project systems.
- Ensure materials are received in the correct quantity and quality and distribute to the associated project (project location and dedicated shelves.)
- Resolve issues such as delays, defective products, incorrect shipments or returns.
- Organize and track all outgoing shipping coordinating with clients and logistics coordination teams.
Qualifications
- A degree in supply chain management.
- 1 to 5 years’ experience in procurement, warehousing and supply chain management preferred.
- Experience managing procurement of piping, equipment, structural assemblies, instruments, controls and electrical equipment.
- Experience in an industrial facility considered an asset.
- Ability to take initiative and drive actions to completion.
- Ability to establish and maintain positive vendor and project team relationships.
- Ability to perform effectively in a fast-paced work environment with multiple priorities and deadlines.
- Ability and initiative to develop procurement policies and procedures that support the needs of a growing organization.
- Exceptional organizational skills required.
- Strong interpersonal communication skills, both verbal and written.
